Job Title: Team Coordinator - Procurement

Salary: AED 8,000 - 9,000 per month

Job Responsibilities:

  • Complicated diary management arranges meetings on a daily basis, both virtual and in person, and reschedules if needed.
  • Screening, redirecting, and responding to e-mails as appropriate. This may include typing general email correspondence and reports.
  • Organization of international and local travel, including preparations of itineraries and visa applications, together with the management of out-of-office requirements.
  • Organizing local meetings on site or offsite, including coordination of country visits and LT meetings.
  • Preparation of PowerPoint presentations, Excel spreadsheets, (PowerBI) reports, and materials for meetings.
  • Liaison with internal customers and external contacts.
  • Proactively tackling issues related to administrative processes to ensure speed and efficiency, improving them for the team.
  • Processing expenses and invoices using relevant systems.
  • Responding to queries and requests for information from executives, business partners, regions, etc. on an ad hoc basis based on priorities set together with the leader.
  • Responsible for managing team expenses and following through with relevant stakeholders.
  • Coordinate the procurement of necessary supplies, software, or equipment for the team.
  • Leading the administration of team engagement activities and any ad hoc team requests required.
  • Coordinate with other assistants or departments to ensure cohesive operations.

Qualifications:

  • At least 2+ years of relevant experience.
  • Proven experience as an Executive Assistant, Administrative Assistant, or in a related role.
  • Strong verbal and written communication skills strong knowledge of MS Office tools.
  • Ability to maintain confidentiality and discretion at all times.
  • Proven ability to handle multiple tasks simultaneously and meet tight deadlines.
  • Excellent organizational skills and attention to detail.
  • Strong interpersonal skills.
