Client Experience, Account Ownership & VA Coordination for a High-Growth Outsourcing Company

Summary:

We're hiring a Client Success & Account Executive Lead to own the day-to-day experience of our clients and virtual assistants.

This is a high-ownership, client-facing role where you will manage multiple accounts, ensure consistent delivery, and keep both clients and VAs fully aligned.

You are not just managing tasks — you are responsible for making sure everything runs smoothly, clients feel supported, and nothing falls through the cracks.

This role requires someone who is:

  • Strong with people (communication, relationships, follow-ups)
  • Strong with systems (tracking, organization, accountability)

Core Responsibilities

Client Management & Communication

  • Own day-to-day communication with clients
  • Set clear expectations and maintain strong relationships
  • Provide consistent updates and proactively flag issues
  • Handle client requests, feedback, and escalations

Account Ownership & Execution

  • Own multiple client accounts end-to-end
  • Ensure all deliverables are completed on time
  • Track account health and identify risks early
  • Follow up consistently until tasks are completed

VA Management & Coordination

  • Act as the main point of contact between clients and VAs
  • Ensure VAs understand priorities, expectations, and deadlines
  • Support VAs in problem-solving and performance
  • Maintain accountability across all assigned VAs

Project Tracking & Organization

  • Maintain an always up-to-date Project Log for all accounts
  • Track:
    • Tasks
    • Owners
    • Deadlines
    • Status
  • Use tools like Notion, Asana, or similar to stay organized
  • Ensure full visibility across all projects

Reporting & Internal Alignment

  • Provide clear, structured updates to leadership
  • Flag risks, blockers, and opportunities proactively
  • Ensure alignment between Recruiting, Operations, and Finance

Requirements:

  • 2–4+ years in:
    • Customer Success
    • Account Management
    • Client Operations
    • OR similar client-facing roles
  • Experience managing multiple clients or accounts
  • Strong communication skills (written and verbal English)
  • Highly organized and detail-oriented
  • Comfortable using tools like Notion, Asana, CRMs, or similar
  • Ability to manage multiple moving pieces daily

Work Setup:

  • Full-time | Monday to Friday 9:30 AM - 6:30 PM EST
