Were hiring a high-IQ, high-agency Operations & Systems Optimization Specialist to support a fast-growing U.S. real estate business.
Summary:
This role is focused on:
- Cleaning up and rebuilding operational systems
- Designing scalable SOPs
- Implementing AI agents and workflow automations
- Optimizing CRM infrastructure and operational efficiency
Youll partner directly with leadership to bring structure, leverage, and automation to a high-growth but loosely systemized organization. This is not a task-execution role — this is a systems architect position.
Core Responsibilities:
Systems & Process Optimization
- Audit and clean up existing SOPs and workflows
- Build scalable systems from the ground up inside Notion and other operational tools
- Create structured documentation frameworks and operational playbooks
- Identify inefficiencies and proactively implement solutions
- Improve operational clarity, accountability, and execution across teams
AI, Automation & Agents (AI-First Mindset Required)
- Design and implement AI-driven workflows using GPTs and automation tools
- Build and deploy AI agents to handle repetitive operational tasks
- Create Zapier integrations across CRM, operations, and internal systems
- Continuously reduce manual work through smart automation
- Research, test, and implement emerging AI tools that increase leverage
CRM & Operational Infrastructure
- Optimize workflows inside Follow Up Boss (or similar CRM)
- Maintain CRM data hygiene and structured pipeline management
- Build automated follow-up systems, tagging logic, and reporting visibility
- Improve dashboards and operational metrics tracking
Qualifications & Skills:
- Strong background in operations, systems building, and process optimization
- Experience designing and implementing automation frameworks
- Proven experience implementing AI tools or AI agents into workflows
- Deep experience with at least 1–2 key tools:
- Notion
- Follow Up Boss
- Zapier
- CRM systems
- High-agency and comfortable making independent decisions
- Strong English communication skills
- Strong internet connection and capable hardware to run AI tools
Work Setup
- Full-Time
- Monday–Friday | 9 AM – 6 PM EST
- Remote (LATAM only)
