We are looking for a highly organized and detail-oriented Internal Sales & Tender Administration Specialist to join our team. The successful candidate will be responsible for the end-to-end administrative support of our bidding process for Public (Greece) and Private/International Sector IT projects.
Your role will be pivotal in ensuring that our proposals are legally compliant, professionally presented, and submitted within strict deadlines, while maintaining a centralized repository of corporate and technical documentation.
The role is part of the Commercial Division and supports the preparation and submission of strategic tenders and proposals.
Key Responsibilities
- Preparation, Coordination & Submission: Coordinate the collection and organization of all necessary legal and supporting documents (Statutes, Board of Directors' Minutes, Judicial Records, etc.) for tenders in Greece and abroad
- Public Procurement Handling: Manage electronic submissions via the ESIDIS / Promitheus platforms and ensure full compliance with the Greek legal framework (Law 4412/2016)
- Resource & CV Management: Maintain and update a centralized database of Employee CVs, University Degrees, and Professional Certifications. Tailor CVs to meet specific tender requirements (e.g., Europass format)
- Corporate Documentation: Manage and renew corporate certifications (ISO 9001, 27001, etc.), company partnerships (Vendors), and reference letters from past projects
- Banking & Guarantees: Liaise with banks for the issuance, amendment, and monitoring of Letters of Guarantee (Bid Bonds, Performance Bonds, Advance Payment Bonds)
- Digital Signatures: Manage the company's digital signatures (USB Tokens) and ensure all electronic documents are properly encrypted and signed.
- Tender Monitoring: Monitor public procurement portals and tender announcements in Greece and internationally
- Internal Coordination: Coordinate internally with sales, presales, finance, legal and technical teams for the preparation of bids and proposals
- Tender Repository Management: Maintain structured repositories of corporate documents, project references, templates and tender materials
Required Qualifications
- Experience: At least 2 years of experience in a Bid Support, Sales Admin, or Back Office role, in Public sector, preferably within the IT/Technology sector
- Legal Framework: Good understanding of the institutional framework for public procurement and tender documentation
- Language Skills: Excellent command of English (written and verbal) is mandatory, as you will handle international tender documents and translate/adapt professional profiles
- Organizational Skills: Exceptional attention to detail and the ability to manage multiple deadlines simultaneously
- Technical Proficiency: Advanced use of MS Office (Word, Excel) and experience with digital signature tools and electronic procurement portals
Preferred Qualifications
- Bachelor's degree in Business Administration, Law, Economics, or Information Technology
- Experience with international tenders (e.g. EU Institutions, etc.)
- Experience supporting large-scale IT or digital transformation tenders will be considered a strong advantage
- Familiarity with ERP systems for extracting financial data and reports.
