Full-Time Estate Planning Virtual Assistant
Position Summary:
We are RecLatam and we are hiring on behalf of our client, a law firm based in Lakeland, Florida. They need a proactive and detail-oriented Estate Planning Virtual Assistant to support attorneys at a law firm with administrative and secretarial tasks. This full-time, remote role is essential for managing client onboarding, preparing engagement letters, and helping keep operations organized and efficient.
Key Responsibilities:

Draft and send engagement letters to new and existing clients.

Enter and manage client data in Clio (legal practice management software).

Provide secretarial support to attorneys, including managing calendars, emails, and administrative tasks.

Maintain and organize digital client files, ensuring all documentation is accurate and up to date.

Coordinate with clients regarding scheduling, follow-ups, and necessary documents.

Assist with billing entries and general administrative support.

Ensure compliance with the firm's confidentiality and security standards.
Requirements:

Experience as a legal assistant, virtual assistant, Intake Specialist or in administrative support (experience in estate planning is a plus).

Proficiency with Clio or similar legal software.

Strong organizational and communication skills.

Highly dependable, detail-oriented, and capable of working independently.

Must be available full-time during Eastern Time (ET) business hours.
