About the job Executive Assistant- Operation & Creative Assistant to Founder
Company Overview:
Our client is a boutique design consultancy and supply company specializing in bespoke art, sculpture, and decorative lighting for luxury hospitality and residential spaces. Their projects are rooted in storytelling, cultural context, and emotional design. They are looking for an Executive Assistant: someone vibrant, organized, and visually sharp, to be the right hand to the Founder and support the daily rhythm of their small but ambitious design studio. This is a vibrant role that blends front-of-house hosting, behind-the-scenes design support, and hands-on operations. You'll be part of the heartbeat of the studio keeping things moving beautifully.
What You'll Do:
Creative & Sales Support:
- Assist with design presentations, mood boards, and sales proposals.
- Prepare client decks and social Media content using PowerPoint, Canva, or simple video editing tools.
- Capture occasional behind-the-scenes content for social media and personal branding of the senior management.
- Organize samples, track couriers, and coordinate with suppliers
Studio & Executive Support:
- Be the first point of contact, greet clients and prepare the meeting room (you know how to set the tone).
- Act as a liaison between the Founder, team, clients, and external partners.
- Set up calls, take minutes, write memos, and keep correspondence organized.
- Write emails and handle company inquiries and projects, assist with BOQs, Offers, proposals, LPOs, and reports.
Admin & Office Flow:
- Manage the Founders calendar and assist with travel arrangements
Maintain records, databases, inventory and physical/digital filing systems. - Handle shipments and deliveries with care.
- Track studio expenses and assist with light bookkeeping or Excel reports.
- Keep the office tidy, well-supplied, and running smoothly.
- Implement HR procedures to improve efficiency, assist with onboarding, keeping records, training coordination and Support a positive work atmosphere by helping organize team-building and social activities.
- Perform additional tasks to support the overall studio flow-whatever it takes. You believe small teams can do big things with the right energy
Who You Are:
- A positive, energetic presence and reliable, calm under pressure, with a warm touch.
- Naturally stylish and detail-driven; you love design and aesthetics.
- Trend-aware and social media savvy (especially LinkedIn, Instagram)
Proactive, organized, and happy to take ownership of tasks big and small. - Tech-comfortable and confident using MS Office, Canva, and light video editing tools.
- A strong communicator who enjoys helping others and getting things done.
- Interested in design, aesthetics, and thoughtful work environments
Background We Love:
- 2-4 years in a boutique design firm, Interior product supply, or luxury/lifestyle environment.
- Experience in administrative coordination, studio support, or creative ops.
- Confident using MS Office Suite (especially Excel & PowerPoint).
Familiarity with video editing, Instagram Reels and content creation. - Bonus: Degree in Interior or architecture design or a soft spot for fashion, art and interior design aesthetics.
- Bonus: Arabic Speaking.
