Role: Intake Specialist/Sales Assistant
Compensation: Competitive Basic Salary
Bonus: 5,000 Perfect Attendance (If applicable).
Benefits: HMO plus 2 Free Dependents, P1,500 Rice Allowance, Night Differential (If applicable).
Work Schedule: 5-day work week, Monday to Friday, 10pm to 7am Philippine time
Work Setup: WFH or WFO (San Fernando, Pampanga)
Summary:
The Intake Specialist is responsible for the processing of all incoming referrals. This includes, but is not limited to, the data entry, insurance verification, scheduling, notification updates, and any other coordination of care efforts such as inventory, setup and compliance follow up. This position requires an individual with strong communication skills (both verbal and non-verbal), as well as the ability to multi-task and problem solve.
The Intake Specialist must adhere to all quality, production and timeliness standards of the company's products and services. In addition to the day-to-day duties, the position requires work with the sales, delivery, and clinical teams to ensure operational efficiencies and improvements where needed.
Responsibilities:
- Responsible for managing incoming orders and accurately loading all patient information into EMR, generating all delivery paperwork for sales, rental and service orders.
- Determine if medical necessity is met for items requested by reviewing medical records and following payer guidelines.
- Create new/resupply orders and update patient medical records as applicable.
- Call to verify insurance benefits and obtain authorization for services.
- Schedule initial DME setup and track and set up resupply follow-ups.
- Set up patients with CPAP and mask fittings.
- Coordinate patient treatment efforts with physician offices and DME providers, as applicable.
- Provide an exceptional level of customer service to patients, physicians, and payer source.
- Any duties specifically assigned by the Operations manager

- Excellent verbal and written communication skills, with the ability to interact professionally with patients, providers, and internal teams.
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks in a fast-paced environment.

Proven ability to work independently, prioritize responsibilities, and meet deadlines with minimal supervision.

Strong critical thinking, problem-solving, and decision-making skills.

Prior customer service experience is required.

Experience in appointment scheduling, referral coordination, insurance verification, or healthcare administration is preferred.

Proficient in navigating multiple systems and maintaining accurate documentation.
- Ability to collaborate effectively with cross-functional teams while ensuring a high level of service and compliance.
Nice to Have
- Experience working in a DME or sleep therapy environment
- Familiarity with CPAP compliance platforms
- Clinical background helpful but not required
