Remote Virtual Assistant Lettings & Property Management (UK Hours)
Location: Remote (Based in South Africa)
Hours: Monday to Friday, 9am5pm UK Time (occasional after-hours work may be required)

Salary: Up to R22,000 (negotiable on experience)

A forward-thinking UK-based lettings agency is looking for a Remote Virtual Assistant to join their dynamic team. You'll work closely with the UK office to manage back-office operations, communicate with landlords and tenants and support smooth day-to-day operations across a portfolio of HMO (House in Multiple Occupation) properties.

You don't need prior UK property experience if you're organised, responsive and eager to grow, we want to hear from you.

Key Responsibilities:

  • Respond to calls, emails and messages from tenants and landlords
  • Coordinate viewings and manage feedback
  • Prepare and send application forms, request documents and collect deposits
  • Set up tenancy information and manage compliance documentation
  • Arrange pre-move-in maintenance, inventories and check-outs
  • Manage listings on the company website and support weekly social media scheduling
  • Coordinate maintenance issues, renew compliance certificates and serve legal notices when needed
  • Handle tenancy renewals, deposit registrations and returns
  • Communicate with the accounts team regarding invoicing and payments
  • Chase rent arrears and handle tenancy disputes professionally
  • Liaise regularly with the UK-based team for inspections and in-person tasks

Additional Responsibilities :

  • Keep digital files organised and updated (e.g. agreements, certificates)
  • Track key dates such as tenancy renewals and compliance deadlines
  • Prepare standard letters and templates for tenant/landlord communication
  • Create and update marketing materials and property brochures
  • Post and maintain property listings on various platforms (e.g. Rightmove, Zoopla)
  • Schedule and monitor social media or email marketing campaigns
  • Generate reports (e.g. rent arrears, maintenance logs, tenancy tracking)
  • Support budgeting and planning for maintenance projects
  • Assist with onboarding new team members or virtual assistants
  • Help manage internal calendars, meetings, and reminders
  • Prepare and share internal updates or newsletters for landlords/tenants

What We're Looking For:

  • Excellent written and spoken English
  • Confident and professional phone manner
  • Highly organised, responsive and detail-oriented
  • Empathetic and understanding of student tenant needs
  • A fast learner who can think independently and problem-solve
  • Interest in the property sector and a willingness to grow
  • Familiarity with HMO lettings or compliance is a bonus, but not essential
