About the Role:
We are seeking a highly organised and proactive Property Operations Administrator to support our Head Property Manager and wider Property Ops team. Youll play a crucial role in ensuring the smooth running of our property portfolio by managing day-to-day administration, compliance, onboarding, budgeting, and operational workflows. Key Responsibilities:
Property Operations Support:
- Manage scheduling, booking, and monitoring of cleaners, maintenance teams, and third-party contractors.
- Organise property inspections, site visits, and Ring camera performance checks.
- Oversee routine maintenance arrangements (e.g., smoke alarm checks, garden upkeep).
- Coordinate linen orders and furniture tracking with external suppliers.
- Maintain and update contractor lists and property operation SOPs.
Compliance & Health & Safety:
- Onboard new maintenance and housekeeping teams.
- Maintain compliance trackers for certifications (e.g., gas, electrical, FRAs).
- Arrange and review Fire Risk Assessments and Gas Safety Certificates.
- Ensure contracts, invoicing, and insurance documentation are up to date.
Property Onboarding:
- Manage administrative tasks for new property onboarding processes.
- Liaise directly with clients and transition to the Client Account Management team when guest-ready.
Budgeting & Reporting:
- Review and verify operational invoices.
- Support month-end settlements and reporting.
- Collaborate on tracking expenses, revenues, and client payments.
Administrative Support:
- Manage the Head Property Managers inbox, calendar, and meeting notes.
- Conduct daily checks of Breezeway messages and client communications.
- Monitor client channels, escalate issues promptly, and track KPIs/OKRs.
Working Hours:
- Monday to Friday
- 8:00 AM 6:00 PM (UK time)
- 45 hours per week (including 1-hour break)
- Occasional Saturdays
About You:
- Highly organised with strong attention to detail.
- Excellent written and verbal communication skills.
- Proactive, resourceful, and able to manage multiple tasks independently.
- Experience in property management, facilities management, or administrative support is a plus.
- Comfortable working remotely and collaborating across teams.
