Job Overview:

We are seeking an experienced Logistics Supervisor to join our team in Windhoek, Namibia. The ideal candidate will have a strong background in logistics and supply chain management, with excellent organizational and leadership skills. The Logistics Supervisor will be responsible for overseeing the transportation, storage, and distribution of waste materials, as well as managing a team of drivers and logistics staff.

Key Responsibilities:

- Responsible for the daily planning of all trips for the following day as per the Logistics Workflow Chart.

Booking Out:

  • Book Out services for the following day as per the prepared Zula Device Trip Sheets and see that all the work are carried out and no work will stand over for the next day during Debriefing at the end of every shift.
  • Ensure to also insert on the Zula device all outstanding trips and requested bookings of the day to be transported the next day - In Priority Sequence, from 1 to
  • Any unclear items or street addresses to be explained to the specific driver involved.
  • Ensure that the Woermann & Brock Orders for Ad hoc work must be attached to the Zula device Trip sheet.
  • Ad- hoc trips to be booked out to vehicles with less trips and to be authorized only by the Logistic Supervisor try to stay in area to save cost.
  • Ensure that no Driver will be allowed to request another Driver to assist in transporting some of his loads unless priory arranged with the Logistic Supervisor and authorized.

Responsible for operational activities through Telephone/Email communication from clients/office including Ad Hoc services.

Call Query: Record the following information:

Recommend/advise operational changes to improve on systems/trips with the monthly Logistics mapping.

a. Ensure that any changes to the current mapping be reported to the Logistics Manager.

b. Ensure that any changes to the current systems be reported to the Technical Supervisor

Manager, supervise & oversee the subordinates (Driver & Assistants)-

Logistics supervisor is the direct superior of the drivers(s) & drivers assistants and therefore must ensure the driver(s) & assistants complies with and to all company policies & procedures.

The following procedures are to be followed by the Logistic Supervisor in ad hoc cases only.

Security Tracking System:

- To ensure that the effectiveness of the system is always measured and any deviances or System offline on a specific vehicle or truck being reported immediately to Surveillance Manager.

- To ensure that appropriate actions taken and system changes applied.

- To ensure that you are familiar with the system.

- To ensure that all vehicles and trucks are monitored & mapped according to the trip schedules.

- To ensure that all ETA (estimate time of arrivals) at collection points corresponds to the actual times appearing on the Trip sheets as recorded and all deviations are explained.

- To ensure that spot checks are performed to ensure the system is operational and vehicle positions are in accordance with the trip sheets.

- To ensure that all deviances of the vehicles when operational are being addressed to.

*Note: When a new system(s) is being implementation it might change the daily core functions of this position. Zula Device Trip sheets are given to the drivers by the Logistics supervisor. Zula Device Trip sheets are returned to the logistics person for debriefing & reporting purposes, the drivers report to the Logistics Supervisor, but on weekends when the logistics supervisor is off duty or not on standby duty for the specific weekend or after hours, the driver will follow the same procedure and debrief & report to the Key Account Supervisor on standby.

- Read and respond on all emails. Check for skip bookings and all queries.

- Do Jarrison clocking daily for all drivers and runners and approve for month end.

- Do production sheets on all waste trip sheets on excel and hand to HR.

- Check and verify all account numbers on trip sheets before sending it to Finance.

- Prepare all Ad Hoc requests for bins & Kleen bin trip sheets on Business Central and Zula 360 for the next day.

- Prepare all Ad Hoc requests Skips, Medical waste, Molok & fat trap Trip sheets on Business Central and Zula 360 for next day.

- Check for all tasks send from Key Account Administrator and add to trip sheets for the due dates.

- Add all ad hoc clients that phoned in or emailed to trip sheets for next day.

- Debriefing of trip sheets and trucks when trucks arrive at yard and print trip sheets on Business Central and Zula 360 for the following day.

- Handle all telephone queries off waste clients. Track all vehicles on Geotab to confirm if a client query regarding services rendered.

- Assist Finance with queries regarding service delivery.

- Register/ report incidents on SHE program.

- Record all daily dumping levies for all general waste disposed and hand over to Finance.

- Daily zoning from exception report received from Business Central and Zula 360.

Ensure that all Vehicle Checklists are handed in to the stock controller or person responsible for the administration, or in his/her absence the Technical Supervisor/Workshop manager and any defects on the vehicles are being reported. The completed Vehicle Check List must be checked also, the kilometer reading to be verified and recorded in a separate column and then be signed off by the Mechanic at the Workshop. If the Vehicle Checklist is incomplete, a KPI enrolment must be recorded to the respective Driver in order to be panelised on his month end payment.


Qualifications:

- Bachelor's degree in Logistics, Supply Chain Management, or a related field

- Minimum of 3 years of experience in logistics and supply chain management

- Strong knowledge of transportation and distribution processes

- Excellent organizational and time-management skills

- Ability to lead and manage a team effectively

- Proficiency in Microsoft Office and logistics software

- Excellent communication and interpersonal skills

- Knowledge of waste management regulations and practices is a plus

Contract Details:

This is a full-time position based in Windhoek, Namibia. The Logistics Supervisor will work Monday to Friday, with occasional weekend and evening work required. Salary will be commensurate with experience.
