PURPOSE OF THE POSITION
To support business units in driving operational effectiveness through the implementation of Human Resource best practices, with a focus on full-cycle recruitment, onboarding, and administrative functions, while ensuring compliance with relevant employment laws, policies, and internal processes, and contributing to the organizations growth and strategic HR goals.
KEY RESPONSIBILITIES
Recruitment & Talent Acquisition
- Manage the full recruitment life cycle: workforce planning, advertising, shortlisting, interviewing, reference checking, selection, and offer stage.
- Confirm vacancy validity against the organogram, resource plan, and MD approval.
- Facilitate completion of recruitment request forms by hiring managers.
- Place internal and external advertisements in accordance with policy and legislative guidelines.
- Liaise with line managers on advert design, sign-off, and timelines.
- Ensure exit interviews are completed prior to advertising, in cases of terminations
SHORTLISTING:
- Scrutinise CVs and perform profile listings.
- Match qualifications, skills, and experience to job requirements.
- Verify authenticity of documents and shortlist accordingly.
- Obtain approval of shortlisted candidates from relevant managers.
ASSESSMENTS:
- Coordinate candidate assessments in line with competencies.
- Ensure interview venues are booked and prepared.
- Ensure reports and competency summaries are shared with hiring teams and HR.
INTERVIEWS:
- Finalise shortlists with managers.
- Prepare and distribute interview packs (CVs, scoring sheets, JD, etc.).
- Notify candidates and panel members at least two days prior.
- Ensure fairness and consistency by maintaining a single interview panel.
- Record and sign off interview outcomes.
CHECKS AND OFFERS:
- Conduct reference checks.
- Attach results to candidate files.
- Prepare recommendation reports and job offers for successful candidates.
- Send regret letters to unsuccessful applicants.
Onboarding and Induction
- Schedule onboarding sessions with leadership and relevant departments.
- Conduct onboarding for new and existing employees.
- Ensure onboarding packs are complete and submitted.
- Confirm site-specific onboarding (including mining operations) is arranged.
- Monitor and follow up on new employee queries.
- Provide monthly feedback reports on onboarding outcomes.
Payroll & HR Information Systems
- Prepare employee data for payroll submission and updates.
- Maintain HR and recruitment-related records on internal systems.
- Assist with monthly reporting to Finance and Operations.
- Capture and manage all contract data for new, terminated, and active staff.
Employee Relations and IR Support (Ad Hoc)
- Assist the IR Practitioner with various administrative IR tasks.
- Support ER-related documentation for hearings and investigations when required.
Engagement, and Recognition
- Facilitate and promote initiatives that maximize employee engagement and create a positive and fulfilling work environment where employees are invested in their roles and committed to the success of the company.
- Administer and promote the company's Reward and Recognition Programme.
- Support initiative that drives employee engagement and wellness

QUALIFICATION AND RELEVANT EXPERIENCE
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 3-5 years' experience in HR, with a focus on recruitment and generalist functions.
- Experience using VIP Payroll.
- Solid understanding of Namibian Labour Law and HR best practices.
- Excellent interpersonal, analytical, and communication skills.
- Highly organized and able to work in a fast-paced, deadline-driven environment.
- Ability to maintain confidentiality and exercise sound judgement.
- Namibian citizen with own transport.
