PRIMARY PURPOSE OF THE JOB (SUMMARY)

To assist with general office administrative and Human Resource (HR) duties.


KEY RESPONSIBILITIES

    1. Coordinating daily office activities

    - Administrative control

    - Incoming and outgoing mail

    - Arrange S & T for Site Manager/employees

    - Arranging of visitors permits and access to site

    2. Human Resources & Payroll

    - Rossing approval and bookings for medicals. (new staff and yearly periodicals)

    - Bookings of new and yearly Rossing HSE inductions

    - On-boarding of new personnel on the Rossing contract/projects on Rossing

    online portal.

    - Training facilitation in-house or other.

    3. Administrative duties

    - Filing and capturing of all Trip sheets and Rossing weighbridge tickets daily, weekly, monthly.

    - Preparation of Rent-A-Drum capture sheet for monthly invoicing to Rossing

    - Answer OPS number and direct ops queries to relevant senior personnel for execution

    - On standby after hours for OPS emergencies on mine and direct queries (telephonically)

    - Liaise with Rossing departments with regards to operational queries

    - Apply for collect removal permit book to Rossing departments as and when needed.

    4. Fine Crushing

    - Quarterly Shift Roster for Shift workers

    - Supervision of execution of duties

    - On stand-by after hours for Fine Crushing emergencies

    - Coordinating annual and emergency leave for shift workers and arranging

    replacement workers for said periods

    - Liaising with Rossing shift foremen with regards to work planned in section.

    5. KPI Compliance

    - Compiling weekly, monthly, quarterly and yearly reports for Rossing

    - Rossing capture sheet and pivots according to KPI functions

    - Rossing monthly KPI scorecard and meetings

    - Environmental Score card monthly meetings

    - Monitoring and reporting environmental and KPI compliance to Site Manager.

    6. ADHOC Tasks

    -It is required that you fully understand admin functions of the other administrator and are familiar with requirements in order to sustain business continuity in case of emergency.

    -It is required that you assist other admin person on site to understand your role and assist with their capability to stand in when needed.

    -Any ad hoc work-related task assigned to the incumbent by Site Manager, General Manager or COO.

    -Assist when needed in the case of other admin person being on leave to ensure business continuity.

QUALIFICATION AND RELEVANT EXPERIENCE

  • Grade 12
  • At least 5 years working experience in an administrative role of which 3 at middle management level
  • Administrative qualifications will be an added advantage
  • Excellent communication skills
  • Strong organising and multitask abilities
  • Strong interpersonal relationships skills
  • Valid drivers license will be added advantage
