PURPOSE OF THE POSITION

    To Support the Logistics and Operations Departments at both the Head Office and branch locations, providing comprehensive administrative support to ensure smooth daily operations and maintaining accurate records across various functions.


KEY RESPONSIBILITIES

Management of Operational Notebooks

Issue and manage notebooks for deliveries, service notes, and recycling collections. Ensure that drivers sign notebooks in and out according to company procedures and maintains a register.

Logistics Support

Assist the Logistics Supervisors by handling phone calls and addressing immediate operational needs.

Operational Orders

Manage operational orders to ensure compliance with company policies and procedures.

Production Bonus Management

Calculate, complete and submit production bonus sheets for Windhoek, Mines, branches, and Rundu, calculating and finalizing bonuses.

Jarrison Report Management

Update the Jarrison Report daily. Ensure data accuracy and submit reports to relevant departments.

Operational Document Management

Maintain up-to-date operational documents, manage filing systems, handle bin bookings, capture relevant data on spreadsheets, and manage reports for various operational activities, such as medical waste and fat traps.

Team Collaboration

Work closely with the operational and other departments to support overall business operations.

Bin, Box, Recycling, and Waste Management

Manage and record trip sheets for waste management operations and ensure accurate data is captured on spreadsheets. 

Monthly Reporting

Support the preparation of monthly reports for Tennaxia (annual reporting) and Zula (vehicle management).

Cross Departmental Coordination

Assist in collecting and updating monthly reports from various departments, including SHE and Finance, for submission to the Commercial department for review.

QUALIFICATION AND RELEVANT EXPERIENCE

  • Grade 12.
  • Computer skills
  • 3-5 years’ work experience in an administrative role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent telephone etiquette and communication skills.
  • Strong organizational and multitasking abilities.
  • Familiarity with data entry and record-keeping software.
