Position Summary:
We are seeking a highly organised and proactive Executive Assistant to provide direct support to the Managing Director. This role is integral to ensuring smooth business operations, managing priorities, and enabling the Director to focus on strategic initiatives. The ideal candidate will have strong experience in business or office management, with a solid background in contract law and a proven ability to manage complex tasks efficiently.
Key Responsibilities:
- Manage the Directors emails, calendar, and travel arrangements.
- Liaise with office staff, accounts, directors, senior managers, and legal representatives.
- Attend meetings on behalf of the Director, take detailed notes, and highlight key actions or issues.
- Review business documents, identify risks or concerns, and draft professional email responses.
- Oversee administrative tasks, including file management, password storage, and system/software research, providing clear reports and market analysis.
- Coordinate with suppliers, clients, and external partners on behalf of the Director.
- Make follow-up calls to staff and clients as required.
- Support legal and commercial matters by gathering information, reviewing purchase order terms and conditions, and ensuring documentation is prepared for the legal team.
- Monitor staff performance and provide support in line with business needs.
Requirements:
- Proven experience in Executive Assistance, Office Management, or Business Management.
- Strong knowledge of Australian contract law and business operations in a construction or related industry is highly desirable.
- Excellent organizational, communication, and multitasking skills.
- Ability to work independently, exercise discretion, and make sound judgments.
- Strong problem-solving skills and adaptability in a fast-paced environment.
- Proficient in Microsoft Office Suite, and other business tools/software.
- High level of professionalism and confidentiality.
