Position Summary:
The P&C Assistant will provide essential administrative support to the P&C function. This role is crucial for maintaining accurate employee records, assisting with people processes, such as onboarding and offboarding, managing leave requests, and serving as a primary point of contact for employee enquiries, and contributing to a positive and compliant workplace environment.
The People & Culture Assistant reports to the People & Culture Business Partner
Key Responsibilities:
- Demonstrable experience working in HR / People & Culture administration.
- Able to establish work priorities and commitments to meet competing position and organisation requirements.
- An effective team player, with ability to adapt and change in a growing business environment and support others to achieve individual and business targets.
- Excellent customer service skills and experienced in working with and resolving issues for employees at all levels within the business.
- Ability to build and maintain good working relationships work with people at all levels internally and externally to the business.
- Able to lead by example and act with credibility, integrity, and independence.
- Strong verbal and written communication skills.
- Strong computer skills in Microsoft Office suite and experience working with online document management and auditing systems.
Requirements:
- Provide administrative support to employee life cycle (contract variations and conversations, right to work checks, school holiday letters, statements of service, special leave requests, reference letters for employees and processing resignations).
- Manage People & Culture email inbox and phone line; triaging enquiries with the relevant P&C team member to respond.
- Responsible for ordering and coordinating distribution of Cirka uniform items.
- Manage reward and recognition processes such as service and performance awards, including nomination process, distributing awards.
- Support the People & Culture team in preparing and delivering new employee onboarding and induction.
- Complete monthly compliance checks and follow ups, including the management of holiday periods for employees on student visas.
- Complete regular and ad-hoc people reporting as required.
- Superuser for HRIS and Reward & Recognition systems including responding to employee enquiries, managing admin permissions, liaising with system provider regarding support tickets.
- Administrator for Learning & Development system; ensuring inductions are completed for new staff including annual refresher training in accordance with training calendar.
- Manage notifications of trade union right of entry, liaising with site managers to ensure correct processes are followed.
- Raising purchase orders for various expenses for the P&C team.
- Support the People & Culture Business Partner and P&C team during periods of high volume and respond to general people related queries.
- Support the delivery of P&C projects, supporting the achievement of the P&C strategy.
- Any other duties or ad-hoc project work as directed by the People & Culture Business Partner.
- Business Management or HR tertiary qualifications.
- Experience working with online document management systems, HRIS and/or online recruitment software.
