Position Summary:
The Accounts and Tenancy Administrator will be responsible for managing and overseeing all aspects of tenancy agreements, rental payments, and financial records. This role requires strong organizational skills, attention to detail, and the ability to work independently. The ideal candidate will have experience in property management, accounting, or a similar field, and be comfortable handling multiple tasks in a fast-paced environment.

Key Responsibilities:

  • Tenancy Administration:

    • Prepare and manage tenancy agreements, renewals, and terminations.
    • Handle tenant inquiries and provide exceptional customer service.
    • Coordinate tenant move-ins and move-outs, ensuring all documentation is completed accurately.
    • Conduct regular checks to ensure compliance with tenancy agreements and company policies.
  • Accounts Management:

    • Process rental payments, deposits, and refunds, ensuring accuracy and timeliness.
    • Monitor and follow up on rent arrears, maintaining clear communication with tenants.
    • Prepare monthly and annual financial reports, including income statements and balance sheets.
    • Assist with budgeting and forecasting for property expenses and income.
  • Record Keeping:

    • Maintain accurate and up-to-date records of all financial transactions and tenancy-related documents.
    • Ensure compliance with relevant regulations and standards, including data protection and confidentiality.
    • Assist with audits and provide necessary documentation as requested.

Qualifications:

  • Proven experience in accounts management, property management, or tenancy administration.
  • Proficient in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (Excel, Word, Outlook).
  • Strong attention to detail and accuracy in financial and administrative tasks.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and manage time effectively in a remote environment.
  • Knowledge of relevant property and tenancy laws is a plus.
