Position: Executive Resume Writing Admin Support

Responsibilities:

Client Support & Communication

  • Serve as the primary administrative point of contact for clients throughout their resume-writing engagement.

  • Schedule consultations, follow-ups, and deadlines between clients and writers.

  • Assist clients with onboarding, forms, questionnaires, and document submissions.

  • Respond to client inquiries promptly and professionally to ensure a positive experience.

Document & Workflow Management

  • Organize, track, and maintain client files, drafts, and final documents.

  • Ensure writers receive all required information and materials before project start.

  • Proofread, format, and prepare documents for delivery using company templates and quality standards.

  • Update internal systems with project status and ensure timelines are met.

Administrative & Operational Support

  • Coordinate calendars, appointments, and internal team communications.

  • Support project prioritization and workflow optimization for resume writers.

  • Maintain up-to-date knowledge of company services, packages, and processes.

  • Assist with invoicing, payment tracking, and client agreement documentation (if applicable).


Quality & Process Improvement

  • Review deliverables for accuracy, grammar, alignment with client goals, and branding consistency.

  • Identify opportunities to improve templates, processes, and client workflows.

  • Maintain confidentiality and handle sensitive client information with discretion.



Requirements:

  • Strong administrative or executive assistant background.

  • Excellent written and verbal communication skills.

  • High attention to detail with strong proofreading and formatting abilities.

  • Proficiency with MS Office/Google Workspace and cloud-based file management.

  • Ability to manage multiple deadlines and work independently.

  • Experience in resume writing, HR, recruiting, or professional services.

  • Familiarity with ATS (Applicant Tracking System) standards.

  • Knowledge of LinkedIn platform and professional branding.
