Position Overview:

We are seeking a highly skilled Documentation Expert responsible for developing, editing, and managing high-quality technical, functional, and tender-related documents for Government, Corporate, NGO, and UN-funded projects. The ideal candidate will have strong technical writing capabilities, excellent attention to detail, and a solid understanding of IT/software project lifecycles. This role involves preparing proposals, technical documentation, methodologies, compliance matrices, and client-ready presentations while coordinating closely with cross-functional teams.

Key Responsibilities: 

1. Technical & Project Documentation

  • Develop and maintain technical documents including SRS, BRD, TOR, process documents, workflows, and requirement specifications.
  • Translate business and functional requirements into clear, structured documentation.
  • Ensure all documentation meets industry standards, internal guidelines, and client expectations.
  • Maintain consistency, clarity, and accuracy across all technical documents.

2. Tender & Proposal Documentation

  • Review RFPs, RFQs, EOIs, and tender documents from Government, NGO, Corporate, and UN agencies.
  • Extract key requirements, eligibility criteria, scope of work, and compliance obligations.
  • Prepare compliance matrices and proposal documentation.
  • Develop technical sections of proposals including methodology, scope, implementation plan, and execution strategy.
  • Coordinate with internal teams to gather inputs and ensure timely submission.
  • Prepare tender summaries, submission checklists, and supporting documents.

3.Technical Approach & Methodology Development

  • Design detailed technical approaches, project methodologies, and delivery frameworks.
  • Convert complex technical concepts into clear and understandable documentation.
  • Collaborate with development teams to refine requirements and solution design.
  • Create feature breakdowns, solution overviews, and system workflows.

4. Presentation & Visual Documentation

  • Prepare professional PowerPoint presentations for client meetings, and internal reviews.
  • Develop diagrams, flowcharts, Gantt charts, and process visualizations using standard tools.
  • Maintain documentation templates, reusable assets, and formatting standards.
  • Contribute to company profiles, capability statements, and proposal decks.

5. Coordination & Communication

  • Work closely with Business Development, Project Managers, and technical teams.
  • Participate in requirement gathering and client briefing sessions.
  • Maintain version control, documentation structure, and proper archiving.
  • Track project deadlines and ensure timely delivery of all documentation.
  • Provide regular updates to management on proposal status, risks, and progress.

Required Qualifications: 

  • Bachelor’s degree in Computer Science, IT, Engineering, Business, or related field.
  • 2–3 years of experience in technical proposal writing, proposal development, or documentation roles.
  • Excellent English writing, editing, and formatting skills.
  • Strong understanding of IT/software systems and development processes.
  • Proficiency in MS Word, PowerPoint, and Excel.
  • Familiarity with diagramming tools such as Visio, Draw.io, or Figma (preferred).

Preferred Skills: 

  • Experience working with Government, NGO, UN, or corporate tender documentation.
  • Understanding of SDLC, Agile, and Waterfall methodologies.
  • Ability to prepare SRS, BRD, TOR, WBS, and technical proposals.
  • Strong research, analytical, and requirement-gathering skills.
  • Familiarity with e-GP portals, UNGM, and procurement systems.
  • Experience using AI tools for documentation support.
