Overview of the Role

The Office Manager – Distributor Administrative Operations will be responsible for managing and coordinating all administrative and office support functions for the national John Deere tractor distributor. This role plays a key part in supporting large-scale sales, service, parts, and logistics operations, ensuring compliance with John Deere distributor standards and maintaining accurate documentation and reporting. The position also bridges communication and coordination across national branches, dealer networks, and the principal manufacturer.

Key Responsibilities

  • Oversee day-to-day administrative operations at distributor headquarters.
  • Coordinate with various team to standardize procedures across national and regional offices.
  • Implement and maintain distributor-level administrative policies, workflows, and controls.
  • Support national sales, service, and parts divisions with documentation and dealer agreements.
  • Act as the administrative liaison between distributor and dealer networks.
  • Ensure compliance with John Deere reporting, branding, and audit requirements.
  • Manage budgeting, purchase orders, vendor coordination, and financial documentation.
  • Prepare operational reports and support audit processes.
  • Coordinate logistics and inventory documentation for equipment and parts.
  • Serve as central contact for administrative matters and facilitate internal/external communication.
  • Oversee facilities and systems, supporting ERP and CRM from a governance perspective.

Background and Experience

  • Bachelors degree in Business Administration, Management, Supply Chain, or related discipline (preferred).
  • 5–7 years of experience in office management or senior administrative roles.
  • Prior experience in distributor, importer, or national sales and service organizations (strongly preferred).
  • Exposure to agricultural machinery, heavy equipment, automotive, or industrial distribution is desirable.
  • Experience with OEM or principal engagement (e.g., John Deere) is an advantage.
  • High proficiency in office systems, ERP platforms, and reporting tools.
  • Strong documentation, coordination, and process-management skills.
  • Ability to manage national operations and priorities independently.

Additional Details
This is an office-based role located at the distributor headquarters. Occasional travel to regional branches, warehouses, or dealer locations may be required. Flexibility in working hours may be necessary during audits or manufacturer reviews.
