We are seeking an Executive & Strategic Assistant to bring structure, foresight, and momentum to this complex professional world. - Describe your experience supporting a senior leader or founder in a fast-paced, remote environment. What was the scope of your responsibilities?
- This role requires an exceptional standard of writing. Please submit a draft email to the CEO of another company on behalf of your boss, explaining why a meeting that had taken so much effort to coordinate now has to be moved. You will also be required to complete a live written assessment during the interview stage. Are you comfortable with this?
- How do you proactively manage competing priorities for multiple projects or stakeholders? Please provide a specific example.
- Which project management and social media scheduling tools are you most proficient with? Please provide links, if possible, to previous works.
- What are your availability (part-time/full-time), required compensation rate, and the key time zones you can comfortably work across?
Key Responsibilities
- Serve as the primary gatekeeper for the founder's inbox, flagging strategic opportunities and urgent communications.
- Prepare the founder for key meetings with concise briefings, relevant documents, and contextual summaries.
- Draft high-quality communications on behalf of the founder, including executive memos, stakeholder emails, and official correspondence.
- Conduct thorough research on industry awards, partnership opportunities, and speaking engagements to drive brand growth.
- Prepare and draft compelling award submissions and applications, ensuring a high standard of writing and brand alignment.
- Support the founder's professional brand on social media by drafting and scheduling thoughtful content.
- Maintain and manage project trackers (e.g., in Notion) to ensure all business verticals and key deliverables are on track.
- Liaise with a diverse range of internal and external collaborators to follow up on action items and ensure project momentum.
- Assist with future travel and calendar coordination as the role evolves.
Ideal Candidate Profile
- Proven experience as a Personal Assistant, Executive Assistant, Project Coordinator, or similar role supporting senior leadership.
- Exceptional written and verbal communication skills, with the ability to adapt tone and produce content that is articulate and authentic.
- A strategic and proactive mindset; able to anticipate needs and add value beyond a given to-do list.
- Excellent attention to detail with a good level of creativity and innovative thinking.
- High emotional intelligence (EQ) and the professional maturity to engage with senior stakeholders, clients, and partners.
- Extremely organised with a proven ability to manage multiple priorities in a dynamic, remote environment.
- Digitally fluent and highly proficient with tools such as Notion, Google Workspace, Canva, AI tools and social media scheduling platforms.
- Possesses a strong sense of discretion and understands the importance of confidentiality. The role will require the signing of an NDA.
- Must be able to ensure some working overlap with the UK, USA, Africa, and Asia time zones.
