About the Company:

Sagan represents a small business owner operating two companies: a day home agency and a moving company. The businesses are fast-paced and service-driven, requiring detail-oriented operational support to maintain clean and accurate financial records across both entities.

Position Overview:

We are seeking a Financial Operations Coordinator to manage daily financial operations across two businesses. The ideal candidate is highly organized, detail-oriented, and experienced in using QuickBooks Online. This role involves syncing data from CRMs, categorizing expenses, managing payroll processes, verifying educator pay, and supporting accurate financial reporting for tax and audit readiness. The candidate should be comfortable navigating between the two businesses and adaptable to evolving operational needs.

Key Responsibilities:

Financial Operations:

  • Sync invoices from CRMs into QuickBooks Online and reconcile daily revenue, expenses, and payments.
  • Draft, verify, and process educator payroll; calculate and distribute commissions, bonuses, and incentives.
  • Support onboarding/offboarding payroll tasks and periodic audits of government funding.
  • Generate and maintain clean financial reports in Google Sheets for recurring review.


Crew Management & Dispatch:

  • Ensure movers clock in on time (using Deputy) and monitor attendance, tardiness, and no-shows -- securing replacements as needed.
  • Assign foremen and helpers based on schedule; send daily dispatch texts with move details and job notes.
  • Coordinate transportation and lodging logistics for long-distance moves (booking Ubers or hotels).
  • Update SmartMoving with job statuses, notes, and assignments; schedule new moves immediately upon booking confirmation.
  • Confirm dispatch details with customers and crews one day before each move and collect any missing move info (COIs, inventories, building access).


Customer Follow-Up & Reviews:

  • Confirm all move documents (agreements, inventories) are signed, stored, and filed.
  • Make pre-move confirmation calls and send post-move review requests via email and text.
  • Aggregate positive customer feedback and distribute internally and online.


Qualifications:

  • 2+ years of bookkeeping or accounting experience.
  • Proficient in QuickBooks.
  • Strong understanding of GAAP principles and financial reconciliation.
  • Experience managing a chart of accounts and processing payroll.
  • High attention to detail and accuracy in financial data entry.
  • Ability to manage responsibilities across two companies effectively.
  • Comfortable working independently and meeting deadlines.


Nice-to-Haves:

  • Familiarity with CRMs (Smart Moving and Timesaver).
  • Experience working with small business owners or multi-entity environments.
  • Prior experience calculating commissions or variable compensation.
  • Background supporting government-funded programs.
