Position Overview:
Join our dynamic e-commerce, Amazon-focused Marketing Agency as a Project Coordinator. In this role, you'll be essential in supporting both project-based initiatives and day-to-day client management under retainers. Acting as a critical connection point between Account Managers, clients, and internal operations, you'll focus on the smooth execution of deliverables and ensuring clients receive maximum value from our services.
Key Responsibilities:
Project Management:
- Oversee multiple active projects, including management retainer, client onboarding, and builds, and specialized build projects.
- Ensure all initiatives stay within budget, meet deadlines, and fulfill deliverable expectations.
Client Collaboration:
- Work closely with Account Managers to align on client objectives and deliverables.
- Maintain high client satisfaction by adapting to their evolving needs promptly.
Internal Coordination:
- Foster effective communication across all internal teams to ensure cohesive project execution and build team buy-in.
- Manage internal project management systems (Teamwork) and Slack channels to synchronize cross-department efforts and updates.
- Help teams understand client objectives and priorities to create alignment across all departments.
Organization, Timeline, and Resource Management:
- Regularly review and adjust project timelines, budgets, and resources to accommodate scope changes and ensure on-time delivery.
- Proactively identify potential risks and blockers, mitigate them through strategic problem-solving, and provide necessary resources to team members.
- Maintain high levels of organization, multitasking to manage multiple projects at once.
Documentation and Reporting:
- Maintain accurate project documentation, ensuring updates to project management tools and communicating status to all stakeholders.
- Adapt reporting and communication styles to meet client needs, ensuring information is presented in accessible and understandable formats.
- Provide timely project status updates and KPI reports, while tracking metrics such as project profitability and stakeholder satisfaction.
Quality Assurance and Process Improvement:
- Oversee quality assurance to ensure project standards are maintained, proposing process enhancements to improve efficiency.
- Engage in continuous learning and share insights for process improvements across the team.
Client Relationship Management:
- Align project execution with client strategy and account management goals, acting as a liaison to support strong client relationships.
- Address client feedback, translating it into actionable tasks for internal teams.
Qualifications:
- Strong English communication skills, both verbal and written.
- Proven experience in project coordination or similar operational support roles, ideally within an eCommerce or marketing context.
- Proficiency in project management and communication tools such as Google Suite, Teamwork, and Slack.
- Excellent organizational and time management skills with an ability to multitask in a fast-paced environment.
- Proactive, solutions-oriented, and process-driven.
Nice-to-Haves:
- Knowledge of eCommerce platforms and marketplaces (Amazon, Walmart, TTS, Shopify).
- PMP Certification or equivalent project management qualifications.
