Job Position:  Account Management Coordinator - Latam

Remote (PST Timezone)

Work Schedule: Monday - Friday, 9: 30 AM to 5 :30 PM PST (Note: This could be flexible; the chosen candidate may work in EST hours as long as there is a 3-5 hour overlap with PST hours.)

Job Description:

The Account Management Coordinator plays a pivotal role in enhancing operational efficiency and effectiveness within the Accounts department. This position focuses on supporting the Accounts team through a combination of technical skills, communication, analytical thinking, and organizational prowess to streamline operations and ensure the success of account-related activities.

Responsibilities:

External Communications

  • Utilize G Suite tools for client communications, scheduling, and document management to ensure efficient external interactions.
  • Work with the Finance department to provide accurate and prompt client billing information.
  • Handle sensitive client information with discretion, adhering to company protocols and ensuring confidentiality.

Internal Communications

  • Serve as a critical bridge between the Accounts team and the media and digital teams, facilitating cohesive strategies, accurate billing, and project coordination.
  • Liaise with the Finance team on client fees and assist in forecasting, providing necessary data for financial planning.
  • Keep the Accounts and Project Management teams aligned with updates on project statuses and progress, ensuring clear communication and realistic timelines.

Internal Operations

  • Leverage ClickUp to manage tasks and projects efficiently, preventing bottlenecks and supporting the Accounts team in meeting deadlines.
  • Aid in creating revenue line items for media plans, leveraging knowledge of digital media advertising to inform accurate billing.
  • Organize internal meeting agendas for the Accounts team, ensuring comprehensive and coherent updates.
  • Regularly update pipeline and revenue forecasts using Google Sheets and ClickUp, demonstrating strong data management skills.

Client Support and Reporting

  • Assist Account Managers in maintaining up-to-date client project statuses, including monitoring changes and collecting client feedback.
  • Collaborate across the Accounts, Media, and Digital teams to compile data and insights for detailed client project reports.
  • Analyze report data to extract actionable insights and communicate complex information effectively to both clients and internal teams.

Monthly Client Plan Sign-Offs

  • Work closely with the Accounts team to gather and finalize client plans, ensuring they are ready for monthly sign-offs.
  • Verify the accuracy of the plans, aligning with client objectives, and coordinating with relevant teams to address any last-minute adjustments or confirmations needed before obtaining approval.
