Job Description – Receptionist

Position Title: Receptionist

Department: Administration

Reports To: Office Manager / HR Manager

Location: Meadowdale

1. Position Purpose

The Receptionist is responsible for managing the front desk operations and providing administrative support to ensure professional communication and smooth business operations. This role serves as the first point of contact for clients, visitors, and suppliers, and always represents the company in a professional and courteous manner.

2. Key Responsibilities

Front Desk & Client Relations, Greet and assist visitors, clients, and suppliers in a professional manner.

Answer, screen, and forward incoming calls; take messages accurately where required.

Manage visitor logs and ensure adherence to company security protocols.

Administrative Support

Handle all incoming and outgoing mail.

Maintain office supplies.

Assist with filing, photocopying, scanning, and record management.

Update and maintain company contact lists and staff directories.

Provide administrative assistance to departments as required.

Operational Support

Schedule and coordinate meetings, including booking meeting rooms.

Support HR with recruitment scheduling, staff onboarding, and documentation where necessary.

Provide general administrative support to Sales and Operations departments.

3. Qualifications & Experience

Grade 12 / Matric (essential).

Further studies in Office Administration or Secretarial Studies (advantageous).

1–3 years experience in a receptionist or administrative role.

Experience in an industrial, safety, or PPE environment will be an added advantage.

4. Knowledge, Skills & Competencies

Proficiency in MS Office (Word, Excel, Outlook).

Excellent communication and interpersonal skills.

Strong organizational skills with the ability to multitask.

Professional appearance and customer service orientation

High level of accuracy and attention to detail

Ability to work independently and within a team environment.

Understanding of workplace health and safety practices.
