Job description:

Operations

  • Receive and transfer incoming phone calls to the appropriate individuals or departments.
  • Provide general information about the building/project to tenants and visitors.
  • Receive, record, and follow up on tenant requests and complaints until resolution.
  • Coordinate with Accounting, Engineering, Housekeeping, and Security teams to ensure smooth daily operations.
  • Maintain and organize customer records and departmental documents.
  • Ensure the reception and front office area is clean, organized, and presentable.
  • Verify and process tenant registrations for property movement and fit-out/construction works.
  • Monitor and follow up on tenants' maintenance and repair requests.
  • Perform cashier duties when required.
  • Complete daily front office checklists and operational logs.
  • Support daily operational activities and events.
  • Perform other duties assigned by the Line Manager.

Reporting

  • Prepare periodic and ad hoc reports as required by the Property Management team.
  • Maintain and update tenant information and documentation.
  • Control visitor access, issue security and contractor passes, and maintain daily visitor records.
  • Immediately report any abnormal situations, risks, or fire and safety hazards to the Line Manager or Engineering team



Requirements: 

  • High school diploma or above.
  • Minimum 1 year of experience in Customer Service, Reception, Hospitality, or a related field.
  • Good command of English.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) 
  • Strong communication, interpersonal, negotiation, and problem-solving skills with a customer-oriented mindset.
  • Professional, courteous, well-groomed, responsible, proactive, flexible.
  • Adaptable with the ability to work effectively under pressure and maintain high service standards.
