Job description:
Operations
- Receive and transfer incoming phone calls to the appropriate individuals or departments.
- Provide general information about the building/project to tenants and visitors.
- Receive, record, and follow up on tenant requests and complaints until resolution.
- Coordinate with Accounting, Engineering, Housekeeping, and Security teams to ensure smooth daily operations.
- Maintain and organize customer records and departmental documents.
- Ensure the reception and front office area is clean, organized, and presentable.
- Verify and process tenant registrations for property movement and fit-out/construction works.
- Monitor and follow up on tenants' maintenance and repair requests.
- Perform cashier duties when required.
- Complete daily front office checklists and operational logs.
- Support daily operational activities and events.
- Perform other duties assigned by the Line Manager.
Reporting
- Prepare periodic and ad hoc reports as required by the Property Management team.
- Maintain and update tenant information and documentation.
- Control visitor access, issue security and contractor passes, and maintain daily visitor records.
- Immediately report any abnormal situations, risks, or fire and safety hazards to the Line Manager or Engineering team
Requirements:
- High school diploma or above.
- Minimum 1 year of experience in Customer Service, Reception, Hospitality, or a related field.
- Good command of English.
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Strong communication, interpersonal, negotiation, and problem-solving skills with a customer-oriented mindset.
- Professional, courteous, well-groomed, responsible, proactive, flexible.
- Adaptable with the ability to work effectively under pressure and maintain high service standards.
