Meeting Coordination and Support:

  • Assisting to develop, maintain and update the meeting schedule to ensure timely organisation of events.
  • Reserve meeting rooms and gather agendas to facilitate productive discussions.

Stakeholder Engagement & Organisation Development Event/Activities Planning:

  • Coordinate Organisational Development (OD) engagements by managing logistics and ensuring seamless execution.
  • Collaborate with stakeholders to understand event objectives and target audiences and propose innovative ideas to enhance attendee experience and engagement.
  • Source and liaise with various vendors (e.g., catering, event planners).

Workplace Resource Management:

  • Conduct regular inventories of office resources, including workstations, lockers, and cabinets.
  • Maintain and update records of availability and allocation of workplace assets.

Financial Reporting:

  • Assist to collect and organise project-related data from various sources and assist in data entry and maintenance of programme databases
  • Generate and consolidate monthly financial reports, ensuring accuracy and timely submission to the existing EVP dashboard for tracking and analysis.

Administrative Support:

  • Assist in managing AOB tasks to address ad-hoc operational needs and team requirements.
  • Assist with general office duties to ensure smooth operation of the Programme Planning Office, and Enterprise Group.

Requirements

  • Minimum Diploma or equivalent qualification in Business Administration or a related field.
  • Experience in Government sector with finance reporting or resource management would be an advantage.
  • Organisational skills: Ability to manage multiple tasks, schedules, and priorities efficiently.
  • Proficient in MS Office: Skilled in Word, Excel, PowerPoint, Outlook, and familiar with scheduling and financial reporting tools.
  • Communication skills: Strong written and verbal communication skills to interact with stakeholders and coordinate effectively.
  • Attention to details: High accuracy in tasks like stocktaking, report generation, and meeting coordination.
  • Problem-solving abilities: Resourceful and capable of handling minor operational challenges independently.

Duration/ Working hours:

1 year contract (Immediate)

42 hours per week
