Role Overview

As the Training Lead Specialist, you'll design, deliver, and improve training programs that develop world-class VAs. But unlike traditional L&D roles, this position requires deep familiarity with AI tools, automation, workflow optimization, and real-world application of AI in business operations.

Your mission:
Teach VAs how to use AI as a strategic assistant, not just how to write prompts.
This means training them on how to troubleshoot, build solutions, streamline tasks with AI, and apply AI thinking to real business problems.

Youll spearhead onboarding, advanced AI skills development, continuous learning initiatives, and performance support to ensure our team stays ahead of industry standards.

Key Responsibilities

Training Design & Delivery

  • Create training programs for General VAs, Sales VAs, Marketing VAs, and specialized roles with strong AI integration.

  • Design materials (slides, SOPs, videos, quizzes) with AI workflows embedded.

  • Lead onboarding sessions emphasizing AI tools, critical thinking, and systems optimization.

  • Build step-by-step learning paths and certification tracks for AI competence.

  • Teach VAs how to use AI to solve problems; example: analyzing data, writing SOPs, automating repetitive tasks, handling client scenarios, etc.

AI Capability Development

  • Train VAs on tools like ChatGPT, Claude, Perplexity, Notion AI, task automations, and other emerging platforms.

  • Teach hands-on techniques: prompt engineering, workflow structuring, quality control frameworks, and real application to client tasks.

  • Develop workshops on advanced use cases:

    • Using AI for research, documentation, and drafting

    • AI-assisted CRM work

    • Turning messy client info into clean systems

    • AI for content creation, process mapping, and client support

Performance Support & Coaching

  • Assess VA performance and identify capability gaps, especially in AI adoption and problem-solving.

  • Provide targeted coaching to underperforming VAs or those struggling with critical thinking.

  • Support team leads with resources, scripts, and AI-based performance tools.

  • Conduct real-time simulations: How would you solve this using AI?

Monitoring & Reporting

  • Track training completion, assessment scores, and AI competency levels.

  • Analyze call audits, AI-generated outputs, and feedback to refine programs.

  • Create monthly reporting on training ROI and measurable performance improvements.

Learning Management & Culture

  • Maintain and update our internal training hubs or LMS with AI-focused modules.

  • Champion a culture of experimentation, learning, and smart adoption of AI tools.

  • Recommend new tools and methods (microlearning, scenario-based training, AI co-working sessions).

Qualifications & Skills

Must-Have

  • 2+ years in training, L&D, operations coaching, or team development.

  • Strong experience using AI tools in real operations; not just prompting.

  • Ability to teach others how to apply AI creatively and strategically.

  • Experience developing training materials and leading virtual workshops.

  • Strong communication and facilitation skills (Zoom, Loom).

  • Familiarity with Google Workspace, Canva, Trello, Notion, or similar tools.

Nice-to-Have

  • Experience with AI tools (ChatGPT, Claude, Perplexity, Notion AI, Zapier AI, etc.)

  • Background in instructional design or adult learning theory.

  • Experience training remote VAs, BPO staff, or digital teams.

  • Familiarity with VA roles: General Admin, Sales, Marketing, Operations.

  • Understanding basic automation or workflow mapping.
