Job Overview:

We are seeking a highly organized and detail-oriented Admin Assistant VA to provide administrative support and ensure smooth day-to-day operations. The ideal candidate will handle a variety of tasks such as scheduling, email management, document preparation, and data entry, while maintaining confidentiality and professionalism in a remote work setting.

Key Responsibilities:

Administrative Support

  • Manage and organize calendars, schedule meetings, and set reminders.

  • Handle email management: filter, respond, and organize inboxes.

  • Prepare and edit documents, reports, and presentations.

  • Maintain digital filing systems and ensure easy access to important documents.

Data Entry & Documentation

  • Input and update data accurately in spreadsheets, CRMs, or databases.

  • Prepare invoices, receipts, and simple financial records when required.

  • Maintain records and reports for easy retrieval.

Communication & Coordination

  • Act as a point of contact for internal and external communications.

  • Coordinate with clients, vendors, and team members as needed.

  • Assist in project coordination and tracking deadlines.

Task & Project Management

  • Manage to-do lists, track progress, and follow up on pending tasks.

  • Support executives or managers with daily operational tasks.

Qualifications & Skills:

  • Proven experience as an Administrative Assistant, Virtual Assistant, or similar role.

  • Excellent organizational and time-management skills.

  • Strong written and verbal communication skills.

  • Proficient in Google Workspace (Docs, Sheets, Calendar) and/or MS Office Suite.

  • Familiarity with project management tools (Asana, Trello, ClickUp) is a plus.

  • Ability to work independently and manage multiple tasks.

  • High level of discretion and professionalism when handling sensitive information.

  • Google Workspace or Microsoft Office

  • Project Management Tools (Asana, Trello, ClickUp)

  • Communication Platforms (Slack, Zoom)

  • Basic knowledge of CRM software (a plus)
