About the Role
We are seeking a highly experienced Executive Assistant with an operator mindset to provide strategic, high-level support across business and personal domains. This role goes well beyond traditional EA responsibilities and requires hands-on experience supporting real estate operations, property management, and renovation projects, along with executive support for a growing company.
Approximately 50% of this role will support Seamless Assist, and 50% will support personal and real-estate affairs, including property-related matters. The ideal candidate is proactive, detail-oriented, commercially astute, and comfortable operating with high autonomy in a fast-paced, high-accountability environment.
This is a trusted right-hand role for a founder and operator managing multiple businesses and real estate assets.
Key Responsibilities
Executive & Strategic Support
- Manage executive calendar, inbox, priorities, and follow-ups with a proactive, anticipatory approach
- Act as a trusted right hand to the executive, managing priorities with discretion and sound judgment
- Prepare briefing materials, reports, summaries, and presentations to support decision-making
- Track deadlines, action items, and deliverables across multiple initiatives
- Handle confidential information with the highest level of professionalism
Business Support – Seamless Assist (~50%)
- Manage scheduling, meetings, and operational rhythms related to Seamless Assist
- Coordinate internal meetings, recruiting efforts, and cross-functional projects as needed
- Support operational initiatives, process improvements, and executive-level projects
- Liaise with internal team members and external partners to ensure follow-through
- Help streamline administrative and operational workflows to improve efficiency
Real Estate Operations & Property Management
- Coordinate day-to-day property operations in partnership with property managers and vendors
- Track maintenance requests, repairs, and ongoing property-related issues
- Serve as a point of contact for property managers, contractors, inspectors, and service providers
- Maintain organized records for properties, leases, warranties, permits, and compliance documents
Renovations & Capital Projects
- Support renovation and improvement projects for newly acquired or existing properties
- Obtain and organize vendor bids; track scopes of work, budgets, and timelines
- Monitor project progress, flag risks or delays, and ensure timely follow-up
- Maintain renovation documentation including contracts, invoices, photos, and change orders
Financial & Administrative Oversight
- Track operating expenses, renovation budgets, and capital expenditures
- Assist with invoice review, approvals, and documentation for accounting
- Maintain clear records and summaries related to property and project finances
Personal & Property related Support (~50%)
- Manage personal calendar including family commitments, appointments, and travel
- Coordinate personal travel planning, reservations, and logistics
- Support personal property-related matters, vendors, and household services
- Serve as a trusted point of contact for personal service providers and logistics
Required Qualifications
- Minimum 5+ years of experience as an Executive Assistant supporting senior or founder-level executives
- Direct experience in real estate operations, property management, asset management, or similar roles
- Proven ability to manage multiple priorities, projects, and stakeholders simultaneously
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- High level of discretion, judgment, and professionalism
- Proficiency in Microsoft Office and/or Google Workspace
Preferred Qualifications
- Experience coordinating renovations, repairs, or construction projects
- Comfort working with budgets, invoices, and financial tracking
- Experience improving systems, workflows, or executive operating cadence
- Familiarity with CRM systems, property management software, and project management tools (Asana, Monday, ClickUp, Notion, etc.)
- Experience supporting executives across both professional and personal matters
