Job Responsibilities

  1. Manage petty cash, registrations, payments, invoicing, and overtime administration.
  2. Coordinate with Finance to ensure accurate financial tracking and documentation.
  3. Support parenting programs, events, and parent communications.
  4. Handle administrative operations for the Health Center, including medical supply procurement and staff overtime processing.
  5. Prepare rental invoices, monitor tenant payments, and coordinate event support payments.
  6. Manage vendor documentation, contracts (MOUs), and profit-sharing reports for canteen and vending operations.
  7. Maintain the alumni database, process Alumni ID requests, and support alumni engagement activities.
  8. Administer Discovery Academy operations, including student registrations, attendance, invoicing, billing, and partner coordination.
  9. Monitor partner agreements, payments, reporting requirements, and program documentation.
  10. Support parent communications and operational delivery of after-school programs, concerts, and special events.
  11. Serve as the main administrative contact for Summer Program participants and parents.
  12. Prepare operational, registration, payment, and petty cash reports.
  13. Ensure accurate record-keeping, documentation, and smooth day-to-day operations across multiple business units.

Job Requirements 

  • Diploma or Bachelor's Degree in Administration, Management, Business, or a related field.
  • Minimum 1–2 years of experience in administrative, operations, or coordination roles (preferred).
  • Proficient in Microsoft Office and/or Google Workspace.
  • Strong organizational, administrative, and time-management skills.
  • Detail-oriented with good numerical and data management abilities.
  • Able to manage multiple tasks and priorities simultaneously.
  • Strong communication and interpersonal skills.
  • Proactive, reliable, and capable of working independently.
  • Comfortable coordinating with parents, vendors, partners, and internal teams.
  • Adaptable and able to thrive in a dynamic, fast-paced environment.
