Regina Wellness Wheel Clinic is a non-profit healthcare organization dedicated to providing equitable, culturally responsive, and holistic care in collaboration with Indigenous communities across Saskatchewan. Our multidisciplinary team works with First Nations community health centres and local health teams to deliver primary care, harm reduction services, and chronic disease management through outreach care.

We are seeking a dedicated, organized Full-Time Clinic Manager to oversee day-to-day operational, administrative, and clinical support functions. This role is ideal for someone who is able to provide leadership in business operations, human resources, finance coordination, marketing, and clinic administration, while ensuring smooth clinical workflow for both urban and outreach services. The Clinic Manager ensures that clinic systems, policies, and procedures support high-quality, culturally responsive care delivery aligned with organizational governance and strategic objectives

This position is part of a newly developed Innovation Fund between the Saskatchewan Government and medical clinics across Saskatchewan with the aim of improving patient access and quality care through team-based support, that will deliver better access to primary care in the province of Saskatchewan. This position is temporary until March 31, 2027, with the possibility of an extension.

Responsibilities:

  • Oversee all day-to-day clinic and business operations, including urban and outreach services
  • Develop, implement, and maintain internal policies and procedures aligned with governance and regulatory standards
  • Coordinate financial administrative functions including timesheet management, invoice preparation, bill payment processing, documentation management, and support for accounting and reporting activities
  • Develop and coordinate contracts for internal and external services
  • Lead marketing materials and communications initiatives in alignment with organizational goals
  • Oversee recruitment, onboarding, orientation, and HR administrative functions for clinic staff and partner physicians
  • Support performance management processes and ensure compliance with HR policies and procedures
  • Monitor staff scheduling and ensure appropriate operational coverage in collaboration with relevant leadership
  • Supervise and support the Medical Office Assistant and oversee front-desk operations and patient flow processes
  • Ensure clinic readiness, organization, supply coordination, equipment management, and overall functionality of clinical spaces
  • Oversee daily administrative workflows and ensure documentation standards are consistently maintained
  • Access and appropriately utilize the electronic medical record (EMR) system
  • Confirm physician day sheets and support coordination of outreach activities, including reminders and scheduling
  • Manage general office operations including phones, correspondence, and communication systems
  • Ensure the clinic environment remains professional, organized, and culturally responsive
  • Provide operational and business support to program and service leads
  • Carry out additional duties as directed by the Executive Director

Qualifications:

  • Bachelors degree in Health Administration, Business Administration, Human Resources, Public Administration, Nursing, or a related field; a Masters degree (MHA, MBA, or related discipline) is considered an asset. An equivalent combination of education and relevant management experience may be considered.
  • Minimum 3–5 years of progressive leadership experience in a healthcare, medical clinic, community health, or related environment, including demonstrated responsibility for clinic operations, administrative oversight, and team supervision.
  • Proven experience overseeing financial coordination processes such as timesheets, invoicing, documentation management, budgeting support, and reporting.
  • Experience managing human resource functions including recruitment, onboarding, scheduling coordination, performance management, and policy compliance.
  • Demonstrated ability to develop, implement, and monitor internal policies, procedures, and governance practices.
  • Strong leadership, organizational, and supervisory skills with the ability to coordinate multidisciplinary teams, physicians, nursing staff, administrative personnel, and external partners.
  • Excellent problem-solving, analytical, and decision-making abilities in a fast-paced healthcare environment.
  • Strong written and verbal communication skills with the ability to manage professional correspondence and stakeholder relationships.
  • Proficiency in electronic medical record (EMR) systems and standard office software applications.
  • Ability to manage competing priorities while maintaining high standards of professionalism, organization, and culturally responsive care practices.
