Job Summary

Sigma Inc. is seeking an experienced Part-Time Executive Assistant / Administrative Assistant to provide high-level administrative and executive support to the Dean's Office at Boston University's Sargent College of Health and Rehabilitation Sciences in Boston, MA.

This is an excellent opportunity for a highly organized administrative professional with experience supporting executives, senior leaders, department heads, or academic leadership. The ideal candidate will be comfortable managing complex calendars, coordinating meetings, handling confidential information, monitoring shared email communications, and preparing professional meeting materials.

Key Responsibilities

  • Provide executive-level administrative support to the Dean and the Office of the Dean.
  • Manage complex calendars, appointments, and schedules while coordinating competing priorities.
  • Schedule and prioritize meetings with internal and external stakeholders.
  • Prepare meeting agendas, briefing materials, meeting overviews, and other executive documents.
  • Monitor and manage a central departmental email inbox, reviewing, prioritizing, routing, and tracking inquiries.
  • Ensure timely follow-up on requests and maintain accurate records of outstanding items.
  • Handle highly confidential and sensitive information with professionalism and discretion.
  • Communicate effectively with faculty, staff, leadership, and other stakeholders.
  • Use strong organizational, analytical, interpersonal, negotiation, and problem-solving skills to support the objectives of the Dean's Office.
  • Perform other administrative duties as needed to support senior leadership.

Required Qualifications

  • Previous experience as an Executive Assistant, Administrative Assistant, Senior Administrative Assistant, Office Coordinator, or similar role.
  • Experience supporting executives, senior leadership, directors, deans, or department heads is highly preferred.
  • Strong experience with calendar management and meeting coordination.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to work independently and exercise sound judgment.
  • Demonstrated ability to handle confidential information with discretion.
  • Strong attention to detail and follow-through.
  • Must be comfortable working onsite in Boston, MA.
