Clinic Coordinator Responsibilities

  • Coordinate the scheduling of clinical services, appointments, and procedures with physicians and medical support staff.
  • Work closely with providers and clinical teams to maintain efficient clinic scheduling and patient flow.
  • Evaluate daily clinic activities and identify opportunities to improve workflows, procedures, and methods of operation.
  • Recommend and support implementation of new or revised clinic procedures and processes.
  • Secure, maintain, and update patient medical histories and healthcare records.
  • Ensure patient information and documentation are maintained accurately and confidentially.
  • Provide patients with appropriate information and instructions regarding treatments, procedures, and medications.
  • Serve as a liaison between patients, physicians, nurses, and other treatment-related disciplines.
  • Coordinate the receipt, tracking, and routing of laboratory results, X-rays, and other clinical documentation.
  • Support communication between clinical departments and healthcare providers.
  • Maintain compliance with applicable HIPAA, privacy, and healthcare documentation requirements.
  • Perform additional administrative and clinic coordination duties as needed.

Required Qualifications

  • High school diploma or equivalent required; college coursework or a healthcare-related degree is a plus.
  • Previous experience in a clinic, hospital, physician office, medical practice, or healthcare environment.
  • Experience coordinating patient appointments and clinical services.
  • Strong understanding of medical office and clinical administrative workflows.
  • Experience maintaining patient medical records and confidential healthcare information.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively with physicians, nurses, medical staff, patients, and multidisciplinary teams.
  • Ability to manage multiple priorities in a busy clinical environment.
  • Strong computer and data-entry skills.
  • Familiarity with Microsoft Office and electronic healthcare systems.
  • EPIC/EMR experience is highly preferred.
  • Ability to work onsite in Boston, Monday–Friday, 8:00 AM–4:30 PM.

Preferred Qualifications

  • EPIC training or hands-on EPIC experience
  • Experience with other EMR/EHR systems
  • Medical scheduling or patient access experience
  • Hospital or specialty-clinic experience
  • Experience coordinating laboratory results, X-rays, imaging, or diagnostic records
  • Experience with referrals, authorizations, or clinical documentation
  • Experience supporting clinic workflow improvement
  • Knowledge of HIPAA and healthcare privacy requirements
