About the job EXECUTIVE SECRETARY / COORDINATOR - ADMINISTRATION
The Role
The Executive Secretary Will Coordinate the day to day Function of the Executive office.
Assist the Senior Management Team in Meeting Arrangements, Preparation of Documents such as MOU’s, TOR’s, Official Letters etc. Collaborate with external parties on behalf of the Senior Management Team.
Primary responsibilities include, but are not limited to:
- Provides confidential secretarial and administrative assistance to the Corporate Management
- Manages the company schedule and calendar and other coordination work
- Organize meetings and meeting schedules for each department
- prepare meeting minutes
- Manage and Process documents required by the senior management team and made available on request
- Serves as a liaison with external institutions, other offices, and clients
- Drafts and finalizes written correspondence and documentation for the office
- Screens and assesses incoming and outgoing correspondence and develops replies
- Receive and forward communications to different staff and departments
- Create, prepare, and deliver reports to various departments
- Performs additional job-related duties as assigned
Qualifications
What we’re after…
Bachelor’s degree, Higher Diploma, or equivalent professional qualification (Chartered Secretary).
5 -10 years’ experience in a similar Job Role in a Reputed Organization.
Must be fluent in English and IT literate.
Matured Professional, aged 35 – 45.
Candidates living in close proximity to Negombo will be given preference. (Interested Candidates living outside the city could be considered to be provided accommodation)
Nice to have
Exceptional Inter- personnel skills.
Excellent Written, and verbal communication skills.
Experience and expertise in corporate business principals and procedures.
Expert in MS office suite or related IT software.
Minimum 5 years of experience.
