Role Overview
We are seeking a highly organised, proactive, and detail-oriented Executive Assistant to support the CEO of a fast-growing, technology-driven organization within the construction ecosystem. This role is critical to ensuring the smooth operation of the CEOs office and supporting strategic initiatives.
The ideal candidate is a strong multitasker, discreet, and comfortable handling both high-level executive responsibilities and day-to-day administrative tasks in a dynamic, fast-paced environment.
Key Responsibilities
Executive Support
- Manage the CEO's calendar, including scheduling meetings, appointments, and travel.
- Prepare meeting agendas, documents, and presentations to ensure effective decision-making.
- Handle confidential information with the highest level of professionalism and discretion.
- Act as a key point of contact between the CEO and internal/external stakeholders.
Project Management
- Support the execution of strategic initiatives by tracking progress and timelines.
- Coordinate cross-functional projects and collaborate with multiple teams.
- Prepare reports, summaries, and dashboards on key business metrics and outcomes.
Communication
- Draft, review, and manage correspondence and presentations on behalf of the CEO.
- Assist with internal and external communication materials such as emails, updates, and announcements.
- Facilitate communication with the executive team, board members, and external partners.
Administrative Duties
- Ensure smooth day-to-day operations of the CEOs office.
- Manage expenses, filing systems, and documentation.
- Organize and coordinate meetings, events, and off-sites involving the CEO.
- Handle ad hoc tasks and special projects as required.
Qualifications
Experience
- Minimum 2 years of experience as an Executive Assistant, ideally supporting C-level executives.
Education
- Bachelors degree in Business Administration, Communications, or a related field preferred.
Skills
- Exceptional organisational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and project management tools.
- Ability to work independently and take initiative.
- Strong problem-solving mindset with high attention to detail.
