Hi! We're Smartsourcing, and we're looking for an Operational Support professional to support the day-to-day management of workforce operational data. In this role, you'll help maintain data accuracy and integrity, support payroll administration and client billing processes, monitor compliance requirements, and assist with field operations coordination—helping ensure timely processing, reliable reporting, and smooth operational performance across the business.

Role Overview

The Operational Support role supports daily operations by validating timesheets, reviewing sign-on and sign-off records, managing exceptions, maintaining compliance information, assisting with roster updates, and coordinating with field staff, supervisors, finance, and client stakeholders. Working within established operational workflows and service standards, the role requires strong attention to detail, sound judgment, and the ability to manage multiple support tasks while maintaining data accuracy, confidentiality, and timely communication.

Key Responsibilities

A. Timesheet Validation & Approval 

  • Validate daily sign-on / sign-off data against rosters and shift records for accuracy and completeness
  • Review, reconcile, and approve timesheets within the cut-off windows that feed payroll and next-day billing
  • Confirm pay rates, shift loadings, and hours are correctly applied before approval
  • Maintain a clear audit trail of approvals, adjustments, and supporting evidence
  • Flag and resolve discrepancies between scheduled and actual hours promptly

B. Exception & Payroll / Billing Support

  • Investigate and resolve timesheet exceptions (missed sign-offs, anomalies, disputes)
  • Liaise with field staff, supervisors, and finance to clarify and correct entries
  • Prepare validated data for payroll processing and next-day client billing
  • Escalate unresolved or high-risk exceptions with clear context and recommendations

C. Compliance & Training Monitoring

  • Monitor staff compliance records, certifications, and mandatory training status
  • Identify and flag expiries, gaps, or non-compliance ahead of time
  • Maintain accurate compliance data within client-side systems
  • Support remediation by prompting and tracking required actions

D. Scheduling & Roster Support 

  • Support rostering and scheduling activities across field operations
  • Update and maintain rosters to reflect shift changes, coverage, and availability
  • Coordinate with operations to ensure shifts are correctly assigned and recorded
  • Ensure roster data aligns with timesheet and compliance records

E. Communication & Stakeholder Coordination 

  • Communicate clearly by phone and in writing with field staff, supervisors, and the Constant team
  • Proactively surface issues, blockers, and risks before they escalate
  • Provide timely updates to the Account Manager and client stakeholders
  • Build trusted working relationships across operations and finance

F. Artificial Intelligence (AI) Readiness and Digital Enablement 

  • Maintain baseline AI literacy relevant to their role, including the ability to understand, use, and evaluate AI-supported tools for work efficiency and decision-making.
  • Use approved AI tools and digital systems in compliance with company policies, data privacy requirements, information security standards, and client confidentiality obligations.
  • Apply sound judgment in AI use by validating outputs, avoiding overreliance, and ensuring accuracy, fairness, and professional accountability for all work delivered
  • Participate in required AI readiness trainings, upskilling programs, and continuous improvement initiatives as part of Smartsourcing's innovation and learning culture.
  • Proactively identify opportunities for process improvement through automation, digitization, and responsible AI integration within their scope of work.

Work Schedule: 8PM-5AM



Qualifications:

  • Bachelor's degree in any field. A background in Finance, Accounting, Business Administration, or a related discipline is an advantage.
  • 1–2 years of experience in a finance administration and operations role.
