Damage and Recovery Specialist

Hi! We're Smartsourcing, and we're looking for a Fleet Damage Officer to support the end-to-end management of vehicle damage incidents. You'll handle incident reports, coordinate assessments and documentation, and help ensure timely resolution—keeping processes organized, costs controlled, and fleet operations well supported.

About the Role

This role ensures timely handling of claims, accurate documentation, effective communication with stakeholders, and adherence to operational and compliance standards.

Key Responsibilities

A. Damage Reporting & Intake

• Manage incoming damage reports via app and fleet systems
• Raise and track damage tickets
• Request and process credit requests (CR) where applicable
• Conduct initial investigations into reported damage
• Respond to member and stakeholder enquiries
• Determine damage responsibility (Member/Third Party vs Company)
• Maintain and update damage templates and tracking spreadsheets

B. General Administration

• Arrange towing services as required
• Provide phone and email support to members and internal stakeholders
• Complete administrative tasks related to claims and damage processing
• Participate in training and support ad hoc operational tasks

C. Claims Processing

• Coordinate and organize vehicle repairs
• Review and authorize repair quotes within delegated authority
• Conduct claim assessments and gather required documentation
• Process invoices accurately and in a timely manner
• Collect and manage documentation (e.g. DC/COR)
• Communicate updates to members and stakeholders throughout the claim lifecycle
• Determine liability based on available evidence
• Manage total loss processes where applicable
• Lodge claims with insurers (ISP)
• Refer complex cases to external partners (e.g. Kemps)



What we are looking for:

• Strong administrative and organizational skills
• Ability to manage high-volume workloads and prioritize effectively
• Excellent communication and stakeholder management skills
• High attention to detail and accuracy
• Problem-solving and investigative mindset
• Experience in claims, insurance, or fleet management (preferred)
