Hi! We're Smartsourcing, and we're hiring a full-time Sage X3 Analyst-Developer. You'll be both the hands-on builder and the go-to expert for a live ERP, and the person the business trusts to keep it running well.

About the Role
You'll be the primary in-house Sage X3 capability for a multi-site retail and distribution business, with external Sage consultants brought in for specific work. In your first six months, you'll sit on the critical path of the Inventory Module implementation, then take over ongoing ownership once it's live. Alongside that, you'll support Finance processes, resolve support tickets against SLAs, and look after the integrations that connect Sage to the wider business. The instance is heavily customised and runs under formal change control, so the work favours standard functionality and simple, well-documented solutions. You'll work Australian Eastern business hours and explain technical issues clearly to non-technical Finance and Operations colleagues.
Key Responsibilities
Inventory Management (Implementation & BAU)
- Configure and deliver the Sage X3 Inventory Module with Finance, Operations, IT, and the external Sage consultant.
- Set up multi-site and multi-warehouse structures and transfers, product master data and hierarchy, units of measure, GS1 barcodes, batch/lot and expiry tracking, stock statuses, and FIFO costing.
- Set up approval workflows and access control for stock adjustments, write-offs, warehouse transfers, and cost adjustments.
- Configure 3PL goods receipt and stock updates, cycle counts and stocktakes, and returns and damaged-goods processes.
- Own inventory configuration, stock movements, purchasing and receiving, and inventory reporting once live.
Finance Systems Support
- Support and configure Sage X3 finance processes: invoicing, accounts payable, general ledger, journals, supplier and store settlement, month-end, and financial reporting.
- Support the bank matching process (6,000+ open items per cycle) and drive performance improvements with Finance and Sage specialists.
- Assist Finance with data corrections, period-end issues, and audit or reconciliation queries.
System Support & Administration
- Act as first- and second-line support for Sage X3 issues raised through the ticketing system.
- Troubleshoot application, configuration, data, and performance issues, performing root-cause analysis and implementing permanent fixes.
- Manage user access, roles, and security settings in line with access-control requirements.
- Coordinate patches, upgrades, and environment refreshes with Infrastructure and the Sage consultants, including testing and cut-over support.
- Development & Enhancements
- Design, build, and test enhancements, reports, workflows, screens, and automations in Sage X3 (4GL, workflow rules, web services, SEI/Crystal).
- Follow change control: document requirements, build in development and test environments, obtain business sign-off, and deploy with rollback plans.
- Document existing customisations and simplify where it is safe to do so.
Integration Support
- Support and develop interfaces between Sage X3 and host files, banking, the 3PL, Power BI, and other business systems.
- Monitor scheduled integrations, investigate and resolve failures, and reconcile data between systems.
- Contribute to the target data-flow design that establishes Sage as the product and inventory source of truth.
Requirements, Process Improvement & Training
- Work directly with business users to understand current processes, identify gaps, and recommend standard Sage X3 functionality before custom development.
- Translate business needs into clear functional and technical specifications, estimates, and test plans.
- Deliver user training and end-user documentation for new functionality.
Documentation & Knowledge Management
- Maintain system documentation, configuration registers, and knowledge-base articles.
- Keep customisation and integration inventories current.
Artificial Intelligence (AI) Readiness and Digital Enablement
- Maintain baseline AI literacy and use approved AI tools responsibly, in line with company policies, data privacy, information security, and client confidentiality obligations.
- Apply sound judgment by validating outputs and avoiding overreliance, ensuring accuracy and accountability in all work delivered.
- Participate in AI readiness trainings and proactively identify opportunities for process improvement through automation and responsible AI integration.
What You'll Need to Succeed
Experience
- 4-5 years of hands-on Sage X3 experience in a live business environment, covering both functional and technical work (strong 3-year candidates considered)
- Exposure to both Sage X3 Finance and Inventory/Distribution
- At least one Sage X3 module rolled out end-to-end (requirements, configuration, data migration, testing, cut-over, hypercare)
- Sage 300, Intacct, or Sage 50-only experience is not a fit
- Retail, wholesale, FMCG, or 3PL multi-site inventory experience advantageous, though open to any industry
Skills & Behaviours
- Excellent written and spoken English, able to explain technical issues clearly to non-technical Finance and Operations users
- Confident working with senior business stakeholders and external consultants
- Must be able to work Australian Eastern business hours (AEST/AEDT)
- Awareness of change control, access management, data handling, and information security requirements
- Familiarity with Australian finance practices (GST, BAS reporting, Australian banking file formats) advantageous
Education & Certifications
- Bachelor's degree in Information Technology, Computer Science, Information Systems, Accounting, or a related field preferred
- Sage X3 certification (functional or technical) advantageous
Tools
- Sage X3 Finance (AP, AR, GL, bank reconciliation) and Inventory/Distribution (stock, transfers, receipts, stock counts, FIFO and weighted-average costing)
- 4GL development, workflow configuration, screen and table customisation, patch management, and web services (SOAP/REST)
- Solid SQL (Microsoft SQL Server preferred)
- ERP integrations (file-based host feeds, APIs, middleware)
- SEI/Crystal, Power BI, Sage X3 performance tuning on heavily customised instances, and barcode/scanner warehouse processes (GS1) advantageous
