Hi! We're Smartsourcing, and we're looking for a full-time, onsite Admin Associate to take ownership of lease renewals, rent reviews, and compliance tasks for a busy AU-based property management team. If you thrive on process, pace, and getting every detail right, this one's for you.

About the Role

As an Admin Associate, you'll keep critical property management workflows moving — processing rent reviews and lease renewals, completing compliance requests, and reviewing reports for accuracy before they reach renters. The role suits a task-oriented, organised operator who can move quickly through high-volume admin without letting details slip. You'll work closely with the AU property management team to clear backlogs, keep records current, and ensure renewals, increases, and forms land on time.

Key Responsibilities

Lease Renewals & Rent Reviews

  • Manage rent reviews and lease renewals through a paired, sequential workflow
  • Confirm owner approvals before processing rent increases
  • Process approved increases and renewals, updating dates, terms, and records accurately
  • Issue renewal documents and confirmations to relevant parties
  • Handle volume of up to 10-30 reviews per month, ensuring nothing slips past deadline

Compliance & Documentation

  • Complete compliance requests and office-specific forms (e.g., water authority forms)
  • Maintain accurate records within the property management system
  • Track outstanding compliance items and follow up where required

Reporting Quality Assurance

  • Review property manager-generated ingoing reports for accuracy and clarity
  • Flag inconsistencies and ensure reports are polished before they reach renters

Coordination & Workflow Support

  • Liaise with property managers and internal stakeholders to confirm approvals and clarify requirements
  • Manage competing priorities under daily volume pressure
  • Surface blockers early and keep workflows moving without supervision

Artificial Intelligence (AI) Readiness and Digital Enablement

  • Maintain baseline AI literacy and use approved AI tools responsibly, in line with company policies, data privacy, information security, and client confidentiality obligations
  • Apply sound judgment by validating outputs and avoiding overreliance, ensuring accuracy and accountability in all work delivered
  • Participate in AI readiness trainings and proactively identify opportunities for process improvement through automation and responsible AI integration


What You'll Need to Succeed

Qualifications

  • Strong written and verbal English communication, with confidence working alongside an AU-based team
  • High attention to detail and administrative accuracy
  • Strong time management and the ability to move quickly through repetitive, high-volume work
  • Task-oriented, organised, and process-driven mindset
  • Comfortable working independently and surfacing issues early
  • Prior admin, property management, or AU real estate experience is a plus, but not required — the role is fully trainable
  • Familiarity with Console (Reapit), Agentbox, or Inspection Express / Inspection Real Estate is advantageous
