Hi! We're Smartsourcing, and we're looking for a full-time, onsite Candidate Manager to power our recruitment engine. In this role, you'll source talent, manage candidates, keep the database humming, and make sure the recruitment team has the right people lined up at the right time.

About the Role
As a Candidate Manager, you'll support the recruitment team through candidate sourcing, candidate management, talent pooling, recruitment administration, CRM management, and recruitment marketing support. The role is critical in delivering an exceptional candidate experience while freeing up Recruitment Consultants to focus on client management, business development, and agency growth. You'll work closely with the Agency Manager (and Consultants over time) to build talent pipelines, maintain accurate recruitment data, coordinate processes, and contribute to the overall efficiency of the business.
Key Responsibilities
Candidate Sourcing & Talent Pooling
- Conduct database searches and source candidates through LinkedIn, Seek Talent Search, and other channels
- Build and maintain talent pipelines for current and future vacancies
- Conduct market mapping and talent research for priority roles
- Support candidate attraction activities and sourcing strategies
Candidate Management
- Manage responses to ads and filter applications
- Screen resumes against role requirements and conduct phone and virtual screening interviews
- Build strong candidate relationships and maintain regular communication
- Coordinate interviews between candidates and consultants, including confirmations, reminders, and follow-ups
- Conduct professional reference checks
- Prepare candidate profiles, snapshots, and synopses for client submission
- Format resumes into employer presentation templates
- Collate candidate documentation where required (e.g., application forms, professional registrations, background checks, academic transcripts)
Marketing Support (Nice-to-Haves)
- Write and post job cards across social channels
- Draft candidate mailers (Mailchimp) promoting hot talent and active opportunities
- Draft client mailers promoting services or recruitment campaigns
- Design basic graphics and promotional content using Canva for socials and mailers
- Support social media posting and employer branding initiatives
Business Development Support
- Build and maintain prospect hit lists as directed
Database Management
- Maintain accurate candidate and client records within the database
- Tag and categorise candidates for future searches and talent pooling
Artificial Intelligence (AI) Readiness and Digital Enablement
- Maintain baseline AI literacy and use approved AI tools responsibly, in line with company policies, data privacy, information security, and client confidentiality obligations
- Apply sound judgment by validating outputs and avoiding overreliance, ensuring accuracy and accountability in all work delivered
- Participate in AI readiness trainings and proactively identify opportunities for process improvement through automation and responsible AI integration
What You'll Need to Succeed
Qualifications
- Excellent verbal (highly articulate) and written English communication, with strong phone and virtual presence
- Ability to build rapport and conduct natural, engaging conversations
- Strong organisational and time management skills with high attention to detail
- Ability to multitask in a fast-paced recruitment environment and balance immediate priorities with proactive talent pooling
- Confidence working independently, showing initiative, and making decisions without constant direction
- Competency across Microsoft Office and online systems
- Comfortable working with KPIs and the activity-equals-results mindset
- Composed under pressure and process-driven in approach
- Previous recruitment agency, talent sourcing, customer service, sales, or relationship-based experience is a plus
- Exposure to ATS/CRM systems and experience supporting offshore or international recruitment teams advantageous
- Canva or basic graphic design experience desirable
