Hi! We're Smartsourcing, and we're looking for a full-time, onsite Property Management Admin Support to assist with the day-to-day operations of the property management team. In this role, you'll provide reliable administrative support, handle data entry and updates across systems, and ensure records are accurate and well-maintained—helping keep processes organized and operations running efficiently.

About the Role
As a Property Management Admin Support, you will play a key role in keeping processes organized, ensuring timely communication, and supporting smooth coordination between tenants, property owners, and internal teams. To be successful in this role, you should possess excellent listening skills with the ability to perform multiple tasks simultaneously. You should also have outstanding problem-solving skills and the ability to meet deadlines.
Key Responsibilities
- Provide administrative support to the Property Management team across daily operations
- Assist in managing tenant and owner communications, including inquiries, follow-ups, and updates
- Maintain accurate records of leases, contracts, and property-related documentation
- Support rent tracking, invoice preparation, and basic financial reporting tasks
- Coordinate maintenance requests and follow through with vendors and contractors
- Update property management systems with relevant data and ensure records are up to date
- Assist in preparing reports, dashboards, and status updates for stakeholders
- Monitor task timelines and ensure deadlines are met across ongoing activities
- Support onboarding of new properties, tenants, or clients as needed
A. Leasing & Property Administration Support
- List and update property advertisements
- New lease and management processes
- Process lease renewals, including documentation and coordination
- Process tenant applications and ensure all required documents are complete
- Manage vacating renter processes, including documentation and coordination
- Arrange utility and water connections for new tenants
B. Operations & Compliance
- Handle board order placements and removals as required
- Support arrears management through SMS and email follow-ups
- Schedule routine inspections and ensure timely coordination
- Follow up on maintenance requests to ensure completion and updates
- Maintain and monitor creditor insurance records to ensure compliance
C. Marketing & Digital Support
- Assist in managing social media platforms for property listings and engagement
- Create simple landing pages for property campaigns or promotions
- Generate and manage QR codes for marketing or property access purposes
- Support basic marketing initiatives, including content updates and listing optimization
- Contribute to graphic design tasks such as promotional materials, listing visuals, or social media posts (where applicable)
Qualifications:
- Previous experience in administrative support, preferably in property management or real estate
- Strong organizational skills and attention to detail
- Good written and verbal communication skills
- Ability to manage multiple tasks and prioritize effectively
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with property management systems is a plus
- Problem-solving mindset with a proactive approach to tasks
- Ability to work independently while collaborating with a team
