Role Overview

We are looking for a highly organized and detail-oriented Employee Experience Specialist to run the daily functions of the People Operations department. Overall, your role is to empower employees, facilitate their day-to-day work life, and manage their lifecycle in the workplace. The ideal candidate will take primary ownership of Internal Communications, Employee Engagement, Onboarding, and Learning & Development, with a passion for supporting a dynamic team.

Responsibilities

Employee Engagement

  • Plan and facilitate company events that will engage our employees and foster positive team spirit.

  • Achieve high feedback ratings, healthy participation rates across departments, and engagement levels for social events:
    • Casual activities (e.g., movie nights, Tech Talks, outsourced activities).

    • Competitive/structured activities (e.g., virtual games, webinars, Virtual Town Halls).

    • Large company events (e.g., company outings, year-end parties).

  • Track participation in engagement programs such as quarterly meetups and Social Club activities. Ensure each individual attends at least one activity per quarter.

  • Monitor and track regular leadership check-ins, identify potential workforce risks, and collaborate with key stakeholders on proactive resolution plans.

  • Come up with creative programs and activities to increase overall employee engagement, satisfaction, and well-being.

Onboarding & Employee Lifecycle

  • Keep track of the overall onboarding process and ensure timely execution of activities.

  • Facilitate employee onboarding to ensure a positive and seamless experience, including conducting new hire orientations, hosting team introductions, and conducting 1-week check-ins.

  • Help new employees adapt to company culture, working schedules, tools, and systems, and introduce them to their assigned leaders and colleagues.

  • Ensure new hires understand policies in the Employee Handbook, performance standards, and People Ops processes (payroll, timekeeping, health insurance administration, leave applications).

  • Manage employee 201 files, keep track of personal information, and ensure compliance with pre-employment requirements.

  • Conduct engagement and pulse surveys to gather insights on how to improve the overall employee experience.

Learning & Development (L&D)

  • Assist with learning and development programs to promote growth and development opportunities for employees.

  • Provide support for the mentorship program, tracking mentor-mentee pairs, learning plans, and learning check-ins to help achieve a 100% mentorship pairing rate.

  • Plan the L&D activity calendar and facilitate learning sessions (at least 1 learning session every 2 months for all employees, and at least 1 Leadership Training Session every quarter).

  • Help Spectrum One establish a coaching culture and leadership excellence.

  • Liaise with 3rd-party training providers or resource speakers, and manage programs providing educational support for employees continuing their academic schooling.

Internal Communications


Minimum Qualifications

  • Proven experience in a People Operations, HR, or Administrative role, with a strong focus on engagement, onboarding, or internal communications.

  • Proficient in Google Workspace (Docs, Sheets, Forms) and MS Office applications.

  • Basic graphic design skills (e.g., Canva) for internal company announcements and communications.

  • Excellent written and verbal communication skills.

  • Close attention to detail and strong time management skills.

  • Highly creative with a proactive, high-agency mindset.


Work Schedule

  • Flexible Hours: You manage your own time based on output and deliverables.

  • Core Overlap: You must be available between 8:00 PM to 12:00 AM PH time to respond to messages, collaborate with the team, or attend scheduled meetings.
