Position Overview

StaffHero is seeking a highly organized and detail-oriented Strategic Operations Associate to support daily business operations and executive initiatives. This role plays a critical part in ensuring operational efficiency by managing administrative processes, coordinating projects, maintaining accurate records, and supporting leadership with strategic and operational tasks.

The ideal candidate is proactive, resourceful, and capable of balancing multiple priorities in a fast-paced remote environment. This position requires strong communication skills, operational thinking, and the ability to execute with minimal supervision.

Key Responsibilities

  • Provide executive and operational support to leadership and internal teams.
  • Manage calendars, schedules, meetings, and travel arrangements as needed.
  • Coordinate cross-functional projects and ensure timely completion of assigned tasks.
  • Maintain and organize company records, documentation, databases, and reporting systems.
  • Handle professional email correspondence, phone communications, and internal follow-ups.
  • Assist with process documentation, workflow improvements, and operational initiatives.
  • Prepare reports, presentations, meeting notes, and business documentation.
  • Monitor project timelines, action items, and key operational deliverables.
  • Support CRM management, data entry, and administrative system maintenance.
  • Identify opportunities to improve efficiency through automation and process optimization.
  • Collaborate with team members across departments to support business objectives and client success.

Qualifications

Required

  • Proven experience in administrative support, operations, project coordination, executive assistance, or a related role.
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication skills.
  • Professional phone etiquette and stakeholder communication abilities.
  • Experience managing calendars, meetings, documentation, and operational workflows.
  • High attention to detail with strong problem-solving and critical-thinking skills.
  • Ability to work independently in a remote environment while meeting deadlines.
  • Proficiency with Microsoft Office Suite, Google Workspace, and productivity tools.
  • Experience working with CRM platforms, project management systems, or business operations software.
