Service Administrator
Job Description:
Service Administrator – Calm in the Chaos, Sharp on the Details Are you the type who notices the small stuff, keeps people on track, and doesn’t crack under pressure? We’re looking for a Service Administrator who knows how to juggle tasks, speak up when things don’t add up, and keep the wheels turning in a busy fire, HVAC, and electrical service environment. You’ll work alongside senior admin, trades, and managers to ensure jobs are booked, technicians are prepped, invoices are accurate, and customers stay informed. This isn’t a receptionist role. It’s a central position in a high-performing team where your decisions matter. What You’ll Be Doing Booking and tracking fire, HVAC, and electrical jobs — from maintenance to urgent call-outs Allocating technicians and managing job scheduling Processing supplier invoices, timesheets, and subcontractor records Following up defects, preparing quotes, and issuing timely, accurate invoices Uploading documents to client portals and maintaining admin systems Managing leave calendars and diaries Supporting managers and customers with clear, timely communication What You Bring Experience in admin or service coordination, ideally in the trades or technical industries Confidence using job control systems (Uptick experience a plus) Calm under pressure, organised, and methodical A good communicator who knows when to ask questions and when to take the reins You take responsibility for your role and know how to prioritise How We Work We follow EOS — a system that makes sure everyone knows what’s expected, how to stay focused, and how to track progress.
