Job Description:
We’re on the lookout for a highly organized, detail-focused Admin who thrives in a fast-paced environment and enjoys keeping systems running smoothly behind the scenes. This is not your typical desk job — you’ll be an essential part of our growing painting company, helping coordinate jobs, proposals, documentation, and client communication through clean systems and clear processes. A Day in the Life You’ll work from our Caloundra office , supporting the full job workflow — from quote upload to project handover. You’ll be part of a team that genuinely backs each other. Your day-to-day will include: Uploading quotes and proposals into ServiceM8 for our painters Organizing job files, sign-offs, and safety documents Scheduling colour consults, subcontractors, and follow-ups Coordinating invoices, variations, and project tracking Communicating professionally with clients and the team Keeping systems neat, organised, and running smoothly You’ll work closely with our Project Manager, Salesman, and Foremen — ensuring no detail falls through the cracks. Who We’re Looking For We’re looking for someone who’s switched-on, reliable, and takes pride in organisation . Ideally, you have: Previous admin or coordination experience (bonus if in trades or construction) Confidence with tools like ServiceM8, Google Drive, Notion or similar Clear communication skills — written and verbal A proactive, tidy, and team-first approach A professional appearance and attitude Driver’s licence and local knowledge is a plus Whether you’re an experienced admin, ex-site coordinator, or just a great organiser with a strong work ethic — we’d love to meet you.
