Administrator (Part-Time)

 Job Description:

The Role:  As the Training Administrator at Speno Rail Maintenance Pty Ltd, you’ll play a vital role in providing administrative support to our national operations. Based out of our Head Office at Perth Airport, this part-time position (approx. 24 hours per week, Wednesday to Friday) is perfect for someone who enjoys variety, takes pride in being organised, and wants to be part of a close-knit, hardworking team. Key Responsibilities: Uploading and managing employee records in our management systems. Tracking expiry notifications and coordinating recertification and training. Creating and managing employee profiles in client training portals and liaising with portal administrators. Following up with planners, superintendents and training providers for upcoming dates, results and certificates. Maintaining our internal training calendar and booking training, inductions, medicals, and recertifications. Maintaining our learning management systems, including creating new training, updating current training and reporting on training completion/actioning outstanding training. Onboarding new starters and assisting with PPE when required. Sending regular reminders to employees about upcoming training and licences. Assisting with general admin tasks and covering office reception/administration duties during leave periods. Requirements: Experience in an administrative , preferably within a similar industry. Strong organisational and time management skills, with the ability to prioritise and multitask effectively. Excellent communication and interpersonal skills, with the ability to build positive relationships with both internal and external stakeholders. Proficiency in using a range of software applications, including Microsoft Office, MEX and quality management systems. Attention to detail and a keen eye for accuracy, with the ability to identify and resolve discrepancies. A proactive and solutions-oriented mindset, with a desire to continuously improve processes and procedures.
