Administration Assistant

Are you an organised, friendly, and reliable admin all-rounder with a passion for supporting others? We’re looking for an Administration Assistant to join our aged care facility in Moe, Victoria and help ensure the smooth day-to-day running of our facility Baw Baw Views. This is a rare opportunity to join a supportive, fun, and friendly team where your work truly makes a difference. The hours will be 9 - 3pm Monday to Thursday and 9-5pm Fridays, a total of 29.5 hours a week.  About the Role This is a diverse and rewarding position where you’ll be the go-to support person for both our General Manager and broader team. You'll also play an important role in welcoming and assisting residents, families, visitors, and staff. Your days will be busy and varied from managing reception and rostering, to handling mail, ordering supplies, and providing general administrative support. You'll also assist with resident admissions, maintain records, support finance processes, and help with onboarding and training. Key Responsibilities Be the friendly face at reception, responding to phone, email, and in-person enquiries Provide day-to-day admin support to the General Manager and other staff Assist with rostering and timesheet management Help coordinate new resident admissions and maintain accurate resident records Manage office supplies and petty cash Process invoices and support basic financial transactions Assist with staff onboarding, uniforms, and training records Maintain a professional, welcoming environment for all visitors and team members What You’ll Bring Previous experience in an administration or reception role (aged care experience a bonus) Strong customer service and communication skills Confident using Microsoft Office and comfortable with rostering or finance systems High attention to detail and excellent organisational skills Able to handle confidential information with discretion Certificate III in Business Administration (desirable) Current NDIS Worker Screening or National Police Check, or willingness to obtain one Why Join Us?
