About the OPPORTUNITY
We have an exciting opportunity to join us as a Business Support Officer to work with our Maritime Sustainment team. Reporting to the Operations Manager, the Business Support Officer is responsible for day to day running of the office along with providing support and working collaboratively with all levels of the team and collaborating with other Departments and Stakeholders as required.
This role is permanent part time, 25 hours per week with the bonus that you can set your own fixed roster. Due to the nature of this role, you will be required to be on site during your hours. This role will be based out of our Portsmith Office in QLD.
Key responsibilities will include:
Day to day running of the office including, but not limited to, ordering and restocking of staff amenities, submitting building maintenance requests, managing and responding to office email group, checking of mail and attending facility meetings
Taking meeting minutes and distribution/follow up of actions where required
Coordinating meetings as required, including logistics of meeting rooms, presentations, virtual access, site access and catering
Arranging domestic and international travel, inclusive flights, accommodation, transport and visit requirements in line with company policy
Organise and support business events, provide customer service, escort and supervise visitors
Raise purchase orders, process payment of invoices and reconcile credit card expenses in line with company policy
Order office supplies, consumables and stationery as required
Ad hoc administrative or project tasks as required
Effective stakeholder engagement and maintenance of positive relationships
Assist with the on-boarding and induction of new staff members

About YOU
You'll have:
Excellent communication skills required, both written and verbal

Organisational and problem-solving skills
An ability to work and liaise effectively with internal and external stakeholders at all levels
A flexible and can do attitude
Computer literacy with intermediate knowledge of MS Suite, Excel, word and Outlook along with SharePoint & Oracle (desirable)
Previous experience in a similar role
