Team Assistant – Full Time or School Hours (Flexible) Location: Capalaba, QLD Company: AIS Electrical Hours: Monday to Friday, 7:00am–3:00pm (negotiable for the right candidate) About Us AIS Electrical is a dynamic and growing electrical services business based in Capalaba. We specialise in residential and commercial electrical work, solar and battery installations, air conditioning, and data services. We’re a close-knit team that values initiative, attention to detail, and a strong work ethic. As our business expands, we’re looking for a capable and motivated Team Assistant to support the Director with day-to-day tasks and help ensure our operations run smoothly. About the Role This is a varied and fast-paced role that requires someone with exceptional organisation and communication skills. You will play a key part in assisting the Director with administrative support, job coordination, quote management, and customer communications. Key Responsibilities Assist the team with general administrative support, including managing and responding to emails, collecting information for quotes, and following up on tasks Booking and scheduling jobs for technicians Preparing and managing packing lists for upcoming jobs Answering incoming calls and customer enquiries Following up on outstanding quotes and updating the CRM system with notes Be the first point of contact for client work requests via phone and email Prioritise and schedule service requests using our internal job management system Liaise with field technicians to coordinate schedules and monitor job progress Ensure accurate data entry and information flow across systems for quoting, job tracking, and finance functions General office duties and ad hoc admin support as required About You At least 1 year of experience in a scheduling, coordination or administration role (preferably in a trades/services industry) Confident communicator with a professional phone manner and strong customer service skills Highly organised with excellent time management, prioritisation and attention to detail Ability to work independently, show initiative and solve problems on the go Strong computer skills including Microsoft Office (Outlook, Excel, Word) and/or Google Workspace Experience using SimPRO or similar job management systems highly regarded Background or knowledge of the electrical industry is a bonus What We Offer Flexible work hours, including the option for school-friendly hours Supportive, friendly work environment Stable full-time role in a respected and growing business On-the-job training in our systems and processes If you’re a reliable, detail-driven and proactive assistant who enjoys working in a busy team environment, we’d love to hear from you.
