Job Title: Document Labeler

About the Client: A U.S.-based law firm specializing in debt collection, creditors' rights, and legal recovery services. The firm represents financial institutions, businesses, and other creditors in collections, litigation, bankruptcy matters, and judgment enforcement while ensuring compliance with applicable federal and state regulations.

Overview: is hiring a Document Labeler to join our Document Labeling team. In this role you are the person who takes client documents from wherever they arrive — our client Portal, DocFlow, email, fax, and Teams — and turns them into clean, correctly labeled, correctly filed records in Best Case. Accurate labeling is what lets
the rest of the firm move a client's case forward, so this is careful, high-trust work where attention to detail matters as much as speed.
You will spend your day working tasks assigned through Clio, reviewing documents, applying the right labels, merging multi-period files, uploading them to the correct case folders, and logging clear notes so every document can be traced. You will also learn the real-world quirks of our systems and work around them reliably rather than
assuming the software is always right.

Responsibilities:

Work prioritized queues. Handle Hot Files and ER cases first, then escalated or frustrated clients, then standard tasks from Document Collectors in Clio, then background document work in the Portal and DocFlow.

Confirm before you work. Check the case stage and existing notes in Clio and the document's source before opening anything. If a case is already filed and the documents are in Best Case, close the task and move on.

Review and label documents. Work documents in small batches — review each one, approve or decline it, apply a quick working name, then go back and apply the final, correct label once the full batch is reviewed.

File into Best Case. Upload labeled documents to the correct numbered case folders, following the team's filing standard (for example, taxes always go to folder 1).

Merge multi-period documents. Combine documents such as monthly statements or pay stubs in Nitro PDF, ordering pages chronologically and saving under the correct existing label — without overwriting files you still need.

Keep clean records. Add a Clio note on every upload stating where the document came from, what was added (with dates), whether anything was merged, and the true count of documents saved.

Protect documents. Watch for silent-overwrite prompts, verify legibility and completeness, avoid discarding on unverified duplicate flags, and follow backup practices (local copies and email archiving) so nothing is lost.

Manage visibility. Use Outlook rules to keep Document Collector task traffic organized, archive rather than delete email, and maintain templates for recurring notes and folders.

Qualifications:

  • Exceptional attention to detail with the ability to accurately identify and label documents.
  • Comfortable learning and using multiple software platforms and working efficiently across different systems.
  • Strong judgment to verify information before deleting, replacing, or overwriting documents.
  • Excellent organizational skills with the ability to prioritize tasks and maintain accurate records.
  • Reliable and discreet when handling sensitive client information while consistently following established processes.
  • Clear written communication, ensuring documentation is detailed enough to trace documents if needed.

Nice to have:

  • Experience in a law firm, legal operations, or another document-intensive, deadline-driven environment.
  • Familiarity with Clio, Best Case, Nitro PDF, or similar case management and document processing systems.
  • Experience with high-volume document processing or records management.
